Guiding Students Through the ASC Petition Process

ASC Enforces regulations on Academic Standing Authority to grant exceptions to the regulations on Academic Standing (requests for reinstatement exceptions) Committee Membership November 26, 2018

Academic Standing Based solely on OSU cumulative GPA. Transfer courses (including DPP courses) are never considered in the determination of the OSU academic standing. Good, Warning, Probation, and Suspension Not linear No limits on number of reinstatements (though a second appearance before the ASC is rare) For students on probation, a term with a single credit below 2.0 will result in suspension November 26, 2018

Reinstatement – 3 Options Two-year absence 24 credits, minimum 2.5 GPA Reinstatement by Exception Senior Exception November 26, 2018

Reinstatement by Exception Petition to the ASC, supported by the student’s academic college. ASC reviews exceptional situations and individual circumstances relevant to each situation ASC decision is never whether a student ought to return to OSU, but the best term and conditions for a student’s return. November 26, 2018

Guidelines for Exception ASC considers requests in which ALL THREE of the following conditions are met: Poor academic performance was the result of extraordinary circumstances that have been demonstrably corrected or substantially addressed. Student’s academic advisor (with consultation with the Head Advisor) is willing to argue convincingly that the student has a strong probability of completing the degree. There is also evidence in the academic record of an ability to succeed academically. November 26, 2018

Extraordinary Circumstances Must have occurred within, or close to chronologically, the term of suspension Exceptional or extraordinary Has to have impacted academic success The committee will try to determine whether the exceptional issue(s) have been corrected. November 26, 2018

Demonstration of Academic Success Successful prior OSU terms Successful terms at other institutions Success, or lack of success, in specific areas November 26, 2018

Reinstatement Packet Complete reinstatement packet: Prepare 1-page letter – extenuating circumstances and their resolution Letter of support from academic advisor/head advisor. Complete Learning Agreement with academic advisor Additional documentation (typically medical documentation) Petition form must be signed by college head advisor Turn in completed reinstatement packet to Registrars Office; docket time is given. November 26, 2018

ASC Meeting procedure Committee reads and reviews all materials Preliminary discussion among committee Registrar’s Office representative escorts student to meeting Interview with the student and advisor (if attending) (Questions/clarifications; student/advisor to can add information) Student/advisor waits in Office of the Registrar for decision Final Discussion and vote by committee Preparation of summary sheet for student Registrar’s Office representative informs student of the decision and explains the summary sheet November 26, 2018

Heard by Senior Vice-Provost for Academic Affairs, or designee. Appeals Heard by Senior Vice-Provost for Academic Affairs, or designee. Appeals based solely on the original file reviewed and acted upon by the Committee (Cases re-opened only if significant new information is presented ) Final level of appeal and the final decision. November 26, 2018

ASC Tips: Assessing extenuating – could/are other students faced with similar situations? Create "win-win” short term solution – take one term at LBCC and return with a 3.0, then we can file a petition – more evidence of success. 1 class is not truly evidence of past success. Caution around tight turn around terms eg: winter to spring. Please attend with the student when possible & appropriate. Please communicate any concern to committee in advance of the scheduling meeting. November 26, 2018
