Report Design Windows Innovations 2017 Modify existing baseline reports to email clients based on specific client needs

Automatic Email Notification Overview Prerequisites CMMS installed on PC and PC is always on CMMS EMAIL configured CMMS Spooler configured Reports Modify Baseline Work Order Step Report Schedule Modify Report View Work Order Report Notification Identify Baseline Inventory Report Schedule & View Inventory Report Notification

Prerequisites CMMS Client Install Identify or create an always on (PC\VM) CMMS Client is installed on identified Resource and configured as usual Email Setup IF SMTP not already configured in CMMS Identify Company SMTP Server Configure CMMS to use SMTP Server Can use certain versions of OUTLOOK Client if SMTP is not available Install needed Microsoft OWA SMTP client Verify Company Security Policy is not blocking SMTP for specific PC Spooler Configuration Modify Registry to set CMMS to run in Spooler mode Set Version value found in CMMS folder to REPORT Set Spooler Queue Set Spooler Report Interval Set Spooler Login ID and Password Add CMMS shortcut to Windows Startup folder ensuring CMMS is booted at startup

Auto Email Notification using Reports Premise: Customers would like to be notified in a timely manner with detail information when certain records are created or modified in CMMS through email. Scenarios to be covered Modify Baseline Work Order Step to email out when Unplanned Work Orders are created against Pumps Schedule Modify Report View Emailed Report Notification Modify Baseline Inventory Report to email out when Zero balance is hit for critical Inventory

Work Order Report Premise: Customer would like to be notified via email with details when a unplanned Work Order is created against any Pump. Identified Baseline Work Order Report that meets client needs Title of Report: Word Order Step Summary The Work Order Step Summary report will provide the details the customer is looking for and allow the filters needed to be added Run the Report and identify the report data window name r_wows_sum located in the top left corner of the report Open the Report Customizer using the data window name and Report Title to locate the specific report Copy the Report using the Report Customizer Copy Function Modify the copied report, adding Needed filters, and Save the Report Setup the Report in Report Navigation Setup to enable running the report Test the New Report

Work Order Report Run the Report and identify the report data window name r_wows_sum located in the top left corner of the report.

Work Order Report Open the Report Customizer using the data window name and Report Title to locate the specific report (r_wows_sum). Enter r_wows_sum in data window Field Click the Find button If more then one report appears narrow down the report thru Report Title and Parameters

Work Order Report Copy the Report using the Report Customizer Copy Function. Name new report (wows_sum_an_pu)

Work Order Report Modify the new report, adding needed filters, and Save the Report. Add Create Date field wo_work_ord_step.wows_ts_create for the column Using the current date variable !default_date as the default value Use Date as the Type Use >= as the Column Operator Modify any Existing filters as Needed (Exclude Close and Completed Work Order Steps) Setup how you want the report to Run Select the default Server Queue Save the Report

Work Order Report Setup the Report in Report Navigation Setup to enable running the report. Query the existing Original Report to easily replicate settings (wows_sum) Create a New Line For Menu Listing use the new report (wows_sum_an_pu) For Menu Listing Description choose a report Title For Seq No use a unique Number Save the Report Setup any Security that is necessary

Work Order Report Test the New Report. Report Found in the WO Report section, identify by Title Report has new Create Date Filter Run Report

Scheduling Customized Report Configure a schedule using the Customized WO Report for the Customer From the Report Select window highlight the Customized Report Open the Parameter Entry window Fill in any Parameters required Click the Schedule Button Fill out the Required Schedule information Click the OK button to complete the schedule Entry

Scheduling Customized Report Fill in any Parameters required. Entered P% in the Asset ID column, customer has all Pumps starting with P Click the Schedule Button.

Choose how often the report will run in the Auto Reschedule Field (Hourly) Choose to Suppress the Report when no records meet the Criteria Mail the Report to the Customer Email Address Choose the desired Mail format Click the OK button to complete the schedule Entry.

Scheduling Customized Report An Email is sent when Work Orders are created against a Pump. The PDF Contains details of the Work Order.

Inventory Report Premise: Customer would like to be notified via email with details when certain SKUs are below their minimum. All SKUs in question begin with POIL%. Identified Baseline Inventory Report that meets client needs Title of Report: Zero Balance Listing by SKU The Zero Balance report will provide the details the customer is requesting Run the Report and identify the report data window name r_pur_zero_bal_sku located in the top left corner of the report No additional filters are needed for the report Test the Report with filter

Inventory Report Test the Inventory Report. Report Found in the Inventory Report section, identify by Title Report Title: Zero Balance Listing by SKU All SKU’s Run Report Schedule Report

Inventory Report The Report is Emailed everyday at 07:00 if any SKUs that start with POIL are at a zero balance.
