HCMS – An Overview Who we are and what we do We are a management company for around 100 care homes Some we manage on behalf of banks and IPs Others we manage by contract All of our Clients can access their information via our online Portal system (developed in house) We also perform audits for care home companies with our IMPaCT® audit tool. An audit system that sets care home standards above CQC audit standards. Some of our more recent developments have included apps for care homes. One of which allows companies to give their employees and clients the opportunity to give feedback - ‘HowDidWeDo?’. This app also works for other sectors (Hotels/Bars/Retail etc).

Why we needed better MI What we needed We require multiple systems in place with the ability to record both financial and non financial information and report all the results in combination back to our CEO, Directors, and Clients. Financial systems originally in place SAGE 50 Management Accounts JARMan (3rd Party System) Rostering/Payroll/Occupancy(Client management)/Petty Cash/Personal Allowance/Management Accounts and Expenses Portal (In House Development) Reporting on Occupancy/Management Accounts Recording and Reporting on Marketing/Clinical Governance/Training/Occupancy How EiB Analytics helped us The introduction of EiB Analytics gave us the ability to produce reports that could bring together the data that was being produced from both SAGE 200 and other systems. EiB AppStudio gave us the ability to integrate and automate some parts of the export of the data to our Portal system. Although all our existing processes were working well, we were starting to grow larger than some of the systems could cope with. In particular SAGE 50. Moving up to SAGE 200 presented us with some compatibility problems with existing systems. We needed to keep as much of the automation of as many processes as possible. Our JARMan system had the ability to push data directly into SAGE and equally pushed data to our Portal System. Although it would have been possible to have JARMan developed to become compatible with SAGE 200, we needed something that was already compatible with the ability to output the data directly to our Portal System. This is where EiB and A La Carte came in.

EiB Analytics to Portal In these screenshots you can see that A La Carte has helped by allowing us to bring all the financial data from SAGE 200 into Excel as a report and format it automatically into a clear layout that we can present to our clients. But it doesn’t stop there. With the inclusion of AppStudio and with the fantastic support and guidance from EiB we can export the data from A La Carte to our Portal system with just a few clicks. This allowed us to keep things simple for our users to process the financial information while also giving us complete control of how we layout the information that we need to report on.

MI Partnership Working with EiB EiB has worked closely with us all the way through the setup process right through to the fine tuning of the automation The support website has many useful tips and plenty of answers to common questions The specialist knowledge of the EiB team has impressed us time and again, often with instantly knowing the solutions to our problems and even implementing developments that allow us to resolve known issues ourselves Even the more bespoke requirements, EiB were able to provide us with options and solutions to allow us to make things as simple as possible for our users.

Future Enhancement Plans for MI Features that we plan to add to enhance our MI solution Scripting with scheduling to create even more automation for the production of financial reports Direct Data uploading – we currently use EiB AppStudio to process the data and then our Portal system pulls the results from within the EiB Analytics Data Provide the users with more knowledge of EiB Analytics and the ability to modify their own reports with the many functions and features such as drill downs to lower level data etc. Direct Data – our next step is to see if we can change the process so that App Studio can insert the data to Portal directly which would minimize the need for Portal to keep checking for data updates when we attempt to fully automate the process.
