ServiceLink Training Video Entering Job Referral Outcomes This video will show you how to enter job referral outcomes at the client level or the employer level. To enter referral outcomes at the client level, locate the client on your My Cases page, or by conducting a client search. Click the client’s name. The client’s Case Details page displays. Click the Job Referrals link. The client’s list of job referrals displays. Click the job title of the job for which you want to enter referral outcomes. The Placement Outcome page displays. From this point on, the process is the same as entering referral outcomes for an individual client at the employer level.

To enter job referral outcomes at the employer level, locate the employer on your My Employers page, or by conducting an employer search. Click the employer’s name. The Employer Details page displays. You can enter referral outcomes for either self-service or staff-assisted job postings. Click Job List – Self Service or Job List – Staff Assisted. The list of the employer’s active job postings displays by default; however, you may also enter referral outcomes for referred, on hold, and closed jobs by clicking the desired button at the bottom of the page. You cannot refer clients to or enter referral outcomes for job postings pending staff approval. To view the list of referred clients for a job posting, click the Referrals link.

You can enter referral outcomes for an individual client, or for all of the clients shown. To enter a referral outcome for an individual client, click the link in the Outcome column, for example, Not Yet Placed. Select an outcome. If this was the only or last job opening associated with the job posting and the client was hired, you can mark all other referrals tied to the job posting as “Not Hired” by selecting Yes in response to “Do you wish to mark all other referrals tied to this job order as ‘Not Hired’?” Click Save and Return to Referral List. If the outcome was Hired, an additional Placement Outcome page requesting hiring information displays. The Placement Date defaults to the current date. Edit if necessary. Type the placement wage, and select the wage type, then click Save and Return to Referral List. The employer’s Referred Clients page now reflects the outcomes you entered.

When a referral outcome is entered at the employer level, the client’s Job Referrals page is automatically updated with the new referral status. Whenever a referral outcome of “hired” is entered (whether at the employer or client level), a job placement is also automatically added to the client record.

To enter referral outcomes for multiple clients at one time, on the employer’s Referred Clients page, click the Enter Multiple Outcomes button. Select an outcome from the drop-down list for each client. Click Submit. If you selected an outcome of Hired for more clients than there are jobs available, an error message will display. If one or more of the clients was hired, an additional Placement Outcome page requesting hiring information displays. Provide the placement date, wage, and wage type for each client, then click Save and Return to Referral List.

Referral Outcomes and Job Order Status Referral Outcomes Pending Job Order Status Job Referral Outcomes Status Changes Active Hires = Number of Openings On Hold Not Hired No Change Hires < Number of Openings Referred Outcomes Entered for All Referrals – None Pending Active Hires = Number of Openings Closed Not Hired No Change Hires < Number of Openings Referred On Hold Entering job referral outcomes can effect the status of the job order. For example, if the status of the job order is “Active,” the number of hires equals the number of openings, and there are outstanding referrals (that is, referrals for which outcomes have not been entered), the job order’s status will automatically change to “On Hold.” Once all of the referral outcomes have been entered, the job order will be automatically closed. Review the other scenarios in this table to understand how entering referral outcomes effects job order status. Job orders cannot go into inactive/closed status until outcomes have been entered for all referrals. If an Active or Referred job order expires with referrals for which outcomes have not been entered, the job order will go into “On Hold” status until the outcomes have been entered.
