Transitioning to SuccessFactors What’s changing? From To Current SAP system: Does not have an organizational structure and cannot: Implement workflow approvals Visibly display a structure, including current vacant positions Does not have integrated modules – most information is collected and entered manually Is not used for recruitment (Taleo is used) Is not used for electronic timekeeping (Kronos is used) SuccessFactors: Organizational structure is the foundation of the system Newly implemented job family structure and pay practices provide guidance and governance Contains several integrated modules – information gathered in one module automatically updates the others Organizational Structure Employee Data Recruitment Onboarding Time and Payroll Process Merit and Salary Goals and Performance Appraisals Key Benefits Automated process and workflow - less errors Integrated information – less paper Job family structure provides guidelines and governance Less time to process new hires, transfers, etc. Standardized reporting Single source of truth (eliminates Taleo and Kronos) Impacted Functions Human Resources /Comptroller/Sponsored Programs All supervisors and managers (posting positions, performing appraisals, approving time, etc.) All employees (documenting time or leaves, applying for a position, changing personal information, etc.)

Onboarding New Employees What’s changing? From To Today, onboarding is decentralized. Each department determines the type of communication they extend to a new hire. New employee information is collected through paper forms. (Form 13, PA form, Tax, Direct Deposit, etc.) Request for Some new employees wait days/weeks to setup career account and gain access to systems. SuccessFactors provides: Standardized processes for all new hires Department can custom welcome message, including linking important policies and other information for a successful first day A Portal is one-stop-shop to collect new employee information (online) needed for tax and payroll; I-9 and direct deposit included. (Notifications are sent if new hire is not completing information as required.) Once completed, new employee is automatically sent link to create career account and password.
