Committee Charter Purpose of Charter Goals and Objectives of Committee Committee Member Responsibilities Deliverables

Purpose The Communications & Membership Committee is responsible for projects and activities relating to safety awareness, membership services, communications, conferences and workshops.

Goals and Objectives For 2014-2015 the committee will primarily focus on: Enhancing Membership Services, Conference Planning, and Membership Communications.

Committee Member Responsibilities Responsibilities of Committee Members include: Representing the interests of the SMSA members as a whole. Representing the interest of the membership category represented. Regular participation in conference calls/web meetings of the committee. Identifying possible SMSA projects and activities.

Committee Member Responsibilities, cont. Assisting in overseeing project and activity expectations. Participating in an annual meeting of the committee in conjunction with the annual SMSA conference (either prior to or post conference) if attending. Contacting members represented to solicit input and feedback on projects and activities. Providing feedback to SMSA staff on projects and activity deliverables.

Committee Member Responsibilities Responsibilities of Executive Committee and Staff: Provide representatives with up-to-date membership contact information. Scheduling conference calls / web meetings. Minutes from conference calls / web meetings. Support the activities of the committee. Report activities to the SMSA Executive Committee. The SMSA Executive Committee shall provide direction and feedback to the committees. The SMSA staff shall be responsible for planning and development tasks associated with all committee projects and activities in consultation with the committee chairperson.

Deliverables Enhancing Membership Services Enhance membership services for: State Membership Supporting Membership Individual Members Evaluate need for additional membership categories. Identify tangible benefits for SMSA membership. Develop a marketing campaign for promoting and increasing SMSA membership. Conference Planning Plan and prepare for the 2015 SMSA Symposium in Baltimore, Maryland October 8 – 10, 2015.

Deliverables, cont. Membership Communications Contact state, individual and supporting members via email and telephone on a regular basis. Identify preferred communication methods for the SMSA membership. Develop a communication plan and process to keep members, partners and stakeholders informed on SMSA projects and activities, including conducting semi-annually conference calls/webinars.

Deliverables, cont. Solicit member feedback through surveys to support state programs and gather information on motorcycle safety issues. Provide recommendations for SMSA website. Solicit feedback on the usefulness of the SMSA website and Spotlight Magazine from the membership. Assist with the preparations for the SMSA Spotlight Quarterly Magazine.

Enhancing SMSA Communications Communication Plan Committee determined a communication plan needs to be developed to keep members, partners and stakeholders informed on SMSA projects and activities. Conduct semi-annual conference calls/webinars with the SMSA Regions, Supporting Members and Individual Members. Establish a process for SMSA EC to contact the SMSA membership on a regular basis.

Enhancing SMSA Member Benefits Membership Services Better communication of benefits to members. Information on statutes from all others states provided to members only Discounts Insurance Magazines Determining what SMSA can do for members. Mentor program How can members get involved with SMSA. Solicit member feedback through surveys to support state programs and gather information on motorcycle safety issues.

Spotlight Magazine Committee provides suggestions for topics, format, and distribution of the Spotlight Magazine. Editors are: Stacey “Ax” Axmaker, SMSA Executive Committee Roberta Carlson,
