From the control panel, you have the option to go into the people database or attendees of an upcoming weekend. Click on Attendees Hit enter for next slide.

On the drop down arrow you need to click on the specific weekend you wish to view, then click GO: Hit enter for next slide.

There is a lot of information you can gather from this page. The VNTB Treasurer keeps track of all payments received. Please do not edit any payment fields or remove records that contain payment information. TFP = $ amount Team Fees Paid VNP= $ amount Scholarship via VNTB CFP = $ amount Candidate Fees Paid LFP= $ amount Lunch money collected Underlined Titles - You can click to sort alphabetically. Person or Server or Position Individual Name & Email Server = YES vs. Candidate = No Hit enter for next slide.

Forms and Background Checks BC The whole Background Check process is managed by an administrator and not the Team. The status is just for your information. FORMS RED = May need action Green = all is well Yellow = all is well Status: RHMA We do not have a valid Release Form in the hands of the VN Council. May need one at first team meeting the individual attends. Team action may be required. Explained on next slide. RHMA The individual is under 18 and the council has the form signed by the parent/guardian. It will automatically turn red when they turn 18 indicating we need a new RHMA form signed by the individual. No action required. RHMA This status requires ACTION. Proceed to the next slide. The council has received the RHMA, the individuals profile is up to date. No action required. Hit enter for next slide.

If the individual is 18 or older, have them sign a RHMA form. Click Edit Click RHMA received box Click Save Attendee Hit enter for next slide.

Forms and Background Checks RED = May need action Green = all is well Yellow = all is well Status: RHMA Rec’d This tells us the TEAM has a COPY of the Form and received it at a team meeting or otherwise. The form needs to be given to the council secretary. Running a meeting, this status is a No Action Required at this point other than giving the form to council. If the individual is under 18… the form needs to be turned in with a signature of a parent or guardian. Once received, repeat the above steps to Edit, Click Received and give the form to Council. Hit enter for next slide.

Forms and Background Checks Looking at the FORMS on this image: There are two that need something to occur. Either: Team needs to give the form to Council or Council needs to update the individuals record. Need RHMA form signed. Hit enter for next slide.

Assign Positions This is where you will assign the positions for the servers. Click on the drop down and pick the appropriate description. For Candidates, the Pre-Weekend couple will manage the status. They will also manage the status of the Forms. As Core team, you can work with just the servers by clicking the “Servers” button. Attendee List Other information is available here. Hover your mouse over the green E next to the name. A box will open showing you all of the history for the individual. If there is an * with Outside Experience, this individual has experience listed in their profile from other 4th day communities. That’s cool Hit enter for next slide.

If you Click on their name Click on their name and you will be taken to their profile so you can see the other experience or talents they have entered, change a phone number or update some information for them. This will look just like your profile page. At the bottom, you be able to see the other experience. Hit enter for next slide.

Want to add someone to your team? Click on Add Attendee A page will open. Start entering the individuals name. Once you see it on the list, click on the individual name to fill in the field (You need to click on the name to add it, not just type it) Click add and they are now on your team. If they are not on the list, you will need to click on People Tab and add them to the database. Example, someone from Tres Dias that has never served on a VN weekend. Hit enter for next slide.

Please be very careful with the data you receive when doing an export. Other things you do on the attendee list. If you want to list just servers or just candidates click here. This export will contain all of the data for the list of servers and/or candidates you are viewing. It will be in an Excel format, please delete the columns before sending to the team that are not really necessary to managing the weekend. Hit enter for next slide.

So… You are managing a weekend at a team meeting Logon as a Director List the SERVERS attendees for a specific weekend and Export the list and delete non-essential data and columns. Take the list to a meeting to have people verify the information. During check in… look to see the status of the Forms If you see these, no action required. RHMA RHMA If this is the status: RHMA If individual is 18 OR OLDER, have them sign the new RHMA form, open the edit and check RHMA received and click save. This will be the new status: RHMA Rec’d You must give the new signed forms to Council Rep. If individual is UNDER 18, have them take a RHMA form home to be signed by their parent or guardian and return it at the next meeting, do not open the edit and check received and click save. The status should remain like this until the form is received: RHMA Once received, open edit, check received and give the form to Council Rep. RHMA Rec’d Hit enter for next slide.

So… If you are managing a weekend at a team meeting Managing the Money Logon as a Director List the attendees for a specific weekend and during check in… look to see the status of the Money Team Fees are $140. If you collect part or all of the team fee, clearly log the payment information on the form provided by the VNTB Treasurer. Provide the completed payment tracking form to the VNTB Treasurer after each team meeting. For these = no action required.
