Infant-Toddler Services Local Grants State Fiscal Year (SFY) 2019 Changes & Important Updates

Added new to the grant this year are: Reporting FTEs Contracted Services are to be listed separately and in the “other” category. Advance payment schedule modified. A Business Entity ID Number must be provided for both the local lead agency & local fiscal agency (if different). Added Public Awareness Program to the Child Find System section of the Community Service Plan (this was from SAR) Professional Development Plan was added to the end of the Community Service Plan (also from SAR) Family Service Coordination Plan added not a stand alone process.

Two grant emails were sent out this year: Email One: Cover Memo (Word) Local Program Grant Amounts (PDF) Application Guidance Packets (Word) Application Checklist (Word) Application Face Sheet (PDF) Assurances (Word) Email Two: Detailed Budget (Excel Tab1), Local Applicant’s Share Funding Sources (Excel Tab2) Budget Narrative (Word) Community’s Service Plan (Word) LICC Contact List (Word) Database Manager & Users (Word) Family Service Coordination Training Plan (Word) Continuous Improvement Plan (Word) Appendix (Word)

Remember!! Older versions of the grant application will not be accepted! Program audits or your fiscal report must be sent within 12 months AFTER the end of your local fiscal agency’s fiscal year and MUST include Part C funds as a separate form or line item. If it’s not included, the audit will not be accepted.

FTE: Full-time equivalent FTE is the hours worked by one employee on a full-time basis. On an annual basis, an FTE is considered to be 2,080 hours: 8 hours per day x 5 work days per week x 52 weeks per year = 2,080 hours per year. When you employ a significant amount of part-time staff, it can be useful to convert their hours into full-time equivalents, to see how many full-time staff they equate to.

Examples: Hawk Talk works 25 hours per week, 52 weeks per year, that’s .625 FTE (25 hours x 52 = 1300 / then divide 1300 hours by 2,080 compensable hours applicable to SFY 2019 = .625 FTE). There are 168 working hours in January and Jayhawk Company works 7,056 hours during the month. When 168 hours are divided into 7,056 hours, the result is 42 FTEs. There are 8 working hours in the day on Big Monday, and KU Catering staff works 136 hours on that day. When 8 working hours are divided into 136 hours, the result is 17 FTEs. There are 2,080 working hours in the year, and 14 Straight staff works 22,880 hours during that year. When 2,080 working hours are divided into 22,880, the result is 11 FTEs.

Timelines: Grants: April 20, 2018 (received in Topeka by 5pm) Grant Award Notification to local tiny-k programs: June 2018 Audits: Within 12 months after the end of local fiscal agency’s fiscal year. Grant Applications can be accepted by mail or electronically! Original, signed Application Face Sheet and signed Assurances can be either mailed, or scanned and sent electronically.
