U.S. CLUB AND DISTRICT LIABILITY INSURANCE PROGRAM U.S. Rotary Club & District Liability Insurance Program (U.S. Club Program) provides liability insurance protection to all active U.S. Rotary Clubs & Districts. The insurance program is financed by Rotarians – via insurance assessments to RI on the 1 July Club Invoice (annual charge in July). There is no application or sign up necessary to activate this liability insurance coverage.

What Presidents need to know The insurance program is for all active U.S. Rotary clubs and districts – participation is mandatory per the COP Resources include: Insurance broker’s website / RI’s Risk Management Dept. Claims (and incidents) need to be reported The insurance is paid for by U.S clubs – the premium is determined each year and billed on the club’s July Invoice Rotarians have various means of obtaining information relating to the Insurance Program. Internal to RI - Rotary Publications: Lead Your Clubs, Lead Your District – includes general information about the US Rotary Club & District Insurance Program Insurance Broker (Gallagher) Insight Website– accessible to all U.S. Rotarians - contains insurance and risk management documents including: certificate of insurance, claim incident report forms, loss prevention strategies, policies, policy summaries, Frequently Asked Questions, and other announcements or documents relevant to the Insurance Program. RI Risk Management – dedicated email address for insurance inquiries (insurance@rotary.org) and claims (claims@rotary.org) Insurance Broker – dedicated email address & toll-free phone number staffed by dedicated team of insurance professionals who issue Additional Insured endorsements and answer insurance questions and inquiries E-mailings from Risk Management throughout the year – annual mailings to club and district officers, providing information about insurance, the Insurance Portal link, information relevant to clubs’ activities Also on the portal - other announcements or documents relevant to the Insurance Program.

Role of the President as respects the Program The President is the point person for their club’s claims Officers of club receive mailings with information on the insurance program – rates, coverage changes, etc. Share information – provide resources to club members involved in fund raising events

Why Presidents need to know about the Program To save money / clubs don’t need to purchase duplicate coverage Claims – Clubs are not on their own; claims (and incidents) should be turned over to the insurance company to handle To save time – clubs can quickly obtain a certificate of insurance / access information about the Program Resources available may help a club reduce or avoid a claim – Loss control, contract provisions, etc.

The Program consists of the following insurance: General Liability (GL) Directors’ & Officers’ / Employment Practices Liability (D&O / EPL) General Liability insurance (“GL” insurance). This has been provided through RI for over 16 years, since July 1st, 2001. Proof of insurance or a certificate of insurance evidencing GL insurance is oftentimes required to receive permission to hold or participate in an event or activity. Example: Rotary club organizes a fundraiser. During this fundraising event, an attendee trips and falls and injures himself. In many cases, the injured person will file a claim or a suit against the Rotary club for this occurrence. Directors’ & Officers’ and Employment Practices Liability Insurance, known as “D&O/EPL” or just “D&O” insurance. This has been provided through RI since January 1st, 2010. Before, several Clubs and Districts were purchasing this type of insurance on their own. Because most insurance questions relate to Club and District events and activities, GL insurance is the focus of this presentation All other coverages must be purchased locally

Most Common GL Claims Experienced: Tripping over an obstacle such as cord, curb, or other objects Slip & Falls (Bodily Injury) To the venue used for an event (damage to walls or the floor) Property Damage

How to Obtain a Certificate of Insurance 1 Go to the Gallagher Insight; www.insight.ajg.com 2 Open Certificate of Insurance (PDF document) under Quick Links 3 Enter date, your club name, Certificate Holder name and address, and event name and date 4 Print or save certificate of insurance to your computer 5 Provide copy to party that requested certificate (Certificate Holder), keep a copy for your club records
