Presentation transcript:

Ticket / Admission The Student Centers provides ticketing & registration solutions for any special event. Our services include walk-up / P.O.S. services and 24 hours a day / 7 days a week options through our Hawk Hub service. In addition any event that is considering any cash collection at the door or during the event will need to have special consideration from the Event Services Committee to take place

What is Hawk Hub? Hawk Hub is Student Centers Administration’s ticketing and special event registration system. The physical box office is the Campus Information Center (GSU 205). Organizations planning a special event requiring tickets, admission or registration can complete this area of the Operations Plan to have their special event built into Hawk Hub Hawk Hub use may be deemed mandatory for your special event so that the University can track who has received & accepted an invitation to come to a special event on campus Online sales are available 24 hours / 7 days a week based on University admission / guest policies governing. Cash, credit, debit, gift cards and Hawk Cash are all excepted payment forms Consider the following as you complete the form: Determine the different groups who will attend your special event & what you will charge them (ex: Students $5, Faculty/Staff/$7, etc.) Day sales end & begin, where you can charge for increased pricing Free/complimentary tickets to your event Request onsite ticket sales services Your organization’s refund policy

Ticket Allocations Allocations refer to the amount of tickets that you want to have issued to a particular group considering your capacities and tickets you have to sell: If you have 200 tickets to sell your allocations may go like this: 125 tickets to students 25 tickets to faculty / staff 40 tickets to guests of students / faculty/ staff 10 tickets to use as promotional giveaways

Cash & On-Site Ticket Sales Temporary box office services can be provided at most campus locations for day of event sales, as long as access to the Internet can be obtained and permission to have onsite sales is given during your event’s review during the Event Services Committee meeting While we do not encourage on-site cash transactions at events for admission, on-site cash transactions maybe approved on a case-by-case basis during the appointed review time with the Event Services Committee: Event types are considered: Family Oriented Activities vs. High Risk Contemporary Entertainment; Audience make-up, etc. Event elements for consideration include: Policy relaxation, multiple patron sales, sales methods, etc. It is the University’s preference to use the Hawk Hub ticket / registration system. The robust system is customizable based on what is agreed upon at the Event Services meeting & the submitted Operations Plan A manifest of overall sales / registration & funds collected during on-site sales that should be produced immediately after the end of sales at a special event. Manifests can be audited at anytime at the request of the University administration

Sponsor’s Refund Policy Student Centers Administration allows Event Coordinators discretion with refund policies for their special events to suit various business & regulatory needs. All refund policies will be made visible on the special event's registration / ticket sales page in Hawk Hub In the absence of an event-specific refund policy, Student Centers Administration may allow for refunds to be processed prior to the rendering of service / date of the special event Refunds must be requested via email by the Event Coordinator or Department Authority responsible for the special event Approved refunds are processed within 10-14 business days for cash & 7 business days (Monday – Friday) for credit, debit, gift card & Hawk Cash transactions
