Conducting a Business Meeting Objective 1.03: Use Robert’s Rules of Order to conduct an orderly transaction of Business

A-Parliamentary Law Robert’s Rule of Order 1-BOOK OF AUTHORITY 2-Assures that all sides are treated fairly and that everyone has the opportunity to discuss and vote

Parliamentary Law 3-Main Objectives: Focus on one item at a time Extend courtesy to everyone Observe the rule of the majority Ensure the rights of the minority

PARLIAMENTARY LAW METHODS OF VOTING (4 ) Voice- Rising- Secret Ballot- Say AYE (Pronounced “I” ) for Yes or No, when called to vote Rising- Stand or show of hands to vote Secret Ballot- written vote/ ballot used for elections and nominations Roll Call- secretary asks each member to state vote

Voting 5- Single majority 6-Two-thirds majority one vote more than 50% or ½ of the votes cast 6-Two-thirds majority 2/3 of the voting members must be for the motion usually used when the rights of the members are limited or spend more money

Voting 7-Quorum number of members required to conduct business

The Gavel The president uses the gavel to control aspects of the meeting. SYMBOL OF AUTHORITY!

1 TAP BE SEATED THE RESULT OF A VOTE HAS BEEN ANNOUCED EXAMPLE: THE MAIN MOTION PASSED THE MEETING HAS ADJOURNED

2 TAPS THE MEETING IS CALLED TO ORDER

3 TAPS MEMBERS SHOULD STAND ON THE THIRD TAP * You will hear 3 taps that means to stand, but only stand after or on the third tap

SERIES OF TAPS ORDER IN THE COURT!! Well not really, it means to “be quiet and regain order”

Presiding Officer Chapter FFA President Must be fair and impartial Must relinquish the chair when the president desires to discuss business

Motions

Main Motion Used to get group approval for a new project or some other course of action Wording: “I move” NOT “I make a motion”

Amendments Used to change a main motion 3 ways to amend: addition, substitution, striking out Wording: “I move to amend the motion”

Adjourn Used to end a meeting Wording: “I move to adjourn” PRIVILEDGED MOTION TAKES PRECEDENCE

Appeal Changes a decision made by the chair Wording: “I appeal the decision of the chair”

Point of Order Used when one believes a parliamentary error has been made Wording: “I rise to a point of order”

Previous question Used to stop debate and vote Wording: “I move to previous question”

Refer to committee Used to gain more information on a motion before voting Wording: “I move to refer this motion to a committee to report at our next meeting.”

OPENING AND CLOSING CEREMONIES During opening and closing cermonies of the FFA, the chairman asks you “ FFA members, why are YOU here?” At this point you will here 3 gavel taps ( 3= stand) And you will repeat in unison the FFA Response

FFA UNISON To practice brotherhood, honor agricultural opportunities and responsibilities, and develop those qualities of leadership which an FFA member should possess.
