Assessment and reporting How, when and what to share Council Officers and Presidents Leadership Advance 2018

What forms link to what information Philanthropy Forms May complete as many per semester as needed Shares total money/ goods raised by your organization Do not report money donated to other chapters/houses events; Relay, PUDM, etc are exceptions Organization Community Service Complete ONE per semester Shares total number of service hours for your organization

What forms link to what information Membership Forms: Allow staff to access your grades and share on organization grade report Each member completes these individually when they join your organization/ are approved to go through an org process Utilize this information for grade reports and the semester report Boilerlink roster Shares the total number of members in your organization and who those members are Invitations can be sent by one person, each member then accepts the invitation Utilize this information on official University reports

When should this information be completed? Membership Forms vary by council usually 72 hours after receiving an invitation to membership or approval to undergo a process Recommend to complete as a group at first new member education session or during an intake meeting All reporting is to be completed by May 1 and December 1 Each council has specific consequences if not completed IFC and PHA: $1000 fine NPHC: Loss of Step Show Participation Greek Gala recognition

How to report All Forms Log on to Boilerlink and seach “FSC” Click on Fraternity, Sorority and Cooperative Life

How to report All forms Once on the FSCL page, scroll to the forms section

How to report All forms If you do not see your form on the main page, click “View all forms”

How to Report Philanthropy report Click on the philanthropy report link Fill in the appropriate fields and click submit It will show as “Pending” until approved by a staff member

How to Report Organization Community Service report Click on the organization community service report link Fill in the appropriate fields and click submit It will show as “Pending” until approved by a staff member

How to Report Membership forms Click on the Membership Form link Fill in the appropriate fields and click submit It will show as “Pending” until graduation or withdrawal of membership

How to report Organization roster Click ‘Manage organization’ button on your organization’s page Open the side bar (click on the three horiziontal lines) and find “Roster”

How to report Organization roster To add people to your roster, click “invite people”

How to report Organization roster Add Purdue.edu addresses into the text box, separated by a comma, and click add email addresses Click Send invitations; each member must accept this individually

How to report Organization roster To make edits to officer access levels, click on “Manage positions” on the right Adjust permissions associated with each role, then click save.

How to report Organization roster To remove members, click the checkbox and then “End membership”

How to report Organization roster To change officers outside of the registration period, click on the editing tool next to a member’s name

What about re-registration? All student orgs need to re-register with Student Activities and Organizations annually This happens once you elect new officers To complete the process you will need: New officer contact information Updated constitution/bylaws Advisor contact information Signed advisor agreement form (available on SAO’s Boilerlink page)

Click the grid icon at the top right hand side of the page Click on the “Manage” option to take you to the action center Search for your organization in the Organization Search field

Select the blue button on the organization page to re-register If the blue button does not appear, contact Student Activities and Organizations at sao@purdue.edu or 765-494-1231
