The origins The origins of workflows can be traced back to Henry Gantt. The industrial revolution was the catalyst for smart thinkers like Gantt to come up with efficient ways of organizing a workforce. Business owners were suddenly able to mobilize huge workforces with powerful machinery, but needed to answer a question before they knew exactly the best way to harness that energy:

What’s the most efficient way to get this work done?

The exact jobs being done Who is responsible for what The time each task takes Breaking that question down, Gantt concluded he needed to know: ____________ By answering those questions and structuring the answers into a chart or process, you get a workflow.

As the old adage goes, “you can’t manage what you don’t measure” As the old adage goes, “you can’t manage what you don’t measure”. By measuring the work that needs to be done, you can manage how optimally it’s executed. Otherwise, you have no idea what’s going on or where the bottleneck in your team’s activity lies.

A workflow application is a tool that uses software to either partially or entirely automate a complex business process.

A workflow app will break a workflow down into a set of data needed to complete the process, and a path for the data to follow. The workflow application will use a form to collect data at different points in the process. The path will include a progression or series of tasks. These tasks might be done by humans or systems. Tasks might include transferring data, documents, or responsibilities in order to achieve a certain goal.

Manual vs. Automated Workflow When a workflow management application is not used, most workflows are handled manually. Manual workflows mean that at each task, a human must either pass the existing data to the next task owner (via email or a message) or manually insert specific commands for a system to follow. Workflows can be paper-based or digital __________ Manual workflows also involved a higher chance of human errors.

Once you have your workflow in place, you can start thinking about automating it. When you automate a workflow, you are essentially handing the task of making sure each step gets completed to a workflow management software program. This means everyone can focus on their individual contributions.

Automating workflows can also help you: Eliminate redundancies Improve efficiency Enhance delegation of tasks Improve coordination and facilitate faster turnaround times Facilitate greater visibility of progress

How Do Workflow Applications Work? A workflow application operates in a linear sequence of steps, often involving team members at every step who perform their part of the task or authorize tasks to move things to the next step. There are rules for workflows when exceptions occur, in which case the workflow takes a possible alternative route.

How Do Workflow Applications Work? When all the involved members approve of the task, the original process owner is notified about its completion who then closes the process. Workflows are mostly applied to repetitive and complex business processes.

Arrangement of Tasks Workflows can include any number of tasks. They can be as simple as a single step or include hundreds of tasks. Some workflows tasks are sequential and are dependent on the previous task’s completion before they can start.

Other tasks in a workflow tasks can happen simultaneously.

Workflow steps can also be conditional (e. g Workflow steps can also be conditional (e.g. only if a purchase order crosses a certain amount).
