The Student Tracking System: An Introduction
What is it? Centralised system Storage of student activity at TUT Potential uses: Monitoring of student progress Storage of student data Analysis of student activity Individualised comments
What is on the System? Lecturer Notes Academic results APS Student Profiling and Potential Assessment Results SDS Activities: Attendance and progress
Who Can See the System? No students! Any staff with the appropriate permissions All can see comprehensive profiles Specific permissions are required for uploading information Contact OppermanI@tut.ac.za for a manual outlining the registration process
So what does it look like?
Can be exported to Excel Which sessions on which days? Active? Completed? How many? Full Information Sets Can be exported to Excel
Example 2: Study Counselling & Exclusions EWP and Life Skills Example 2: Study Counselling & Exclusions
Did the student attend recommended Interventions? 2015 2014 Were the interventions a requirement of the academic probation committee?
Additional Services The STS staff provide additional reporting services in the form of graphical representations and collated data sheets Trend analyses and identification of risky students or poor performance subjects Identification of students at risk for probation and trends therein Graphical representations of information Collated academic and SDS information for ease of viewing and monitoring
Graph Reporting Example EWP assessment scores on module 1 fluctuate alongside marks for the right hand 3 subjects The left hand two subjects seem unrelated to the EWP marks. This is most probably due to their basis in financials/calculations and resource/information technology usage rather than text-based studies
Future Directions Extensive use of credits and activities to easily identify “probation” and “exclusion” students for enhanced monitoring Automatically generated graphs/reporting including SDS data Collated scheduling and monitoring of attendance between committees and SDS, particularly for probation/risk students Online and electronic attendance capturing Further integration with the myTutor system
In Conclusion… The STS is a valuable tool for SDS practitioners, lecturers and academic committees Centralised access to the system means instant information Weekly updating ensures on-the-spot reference to all student activity within SDS, including compulsory interventions mandated by the exclusion committee Reporting requests allow for collated, comprehensive group information and analyses
