Preparation for New Curriculum Proposal System (CPS)
New Joint CPS and Catalog System Conducted a thorough and rigorous Request for Proposals (RFP) process APAA and the Registrar's Office have partnered with the vendor SmartCatalog to implement a joint CPS/catalog system Streamlined process where approved changes to the curriculum (e.g. courses, programs, options, etc.) flow into the catalog and catalog information flows back into the CPS
New Joint CPS and Catalog System Allows for more automation, such as auto-filled CPS forms and fewer errors Improving efficiency in the proposal process and the CPS-user experience Will be implemented in phases Will be gathering input about the CPS forms and processes from stakeholders
Phase 1: Initial Review of the Forms November 1, 2014 – February 28, 2015 NOTE: Dates are approximate Initial drafts of forms in Word Many of these fields are in the current CPS, some fields are new, in others the wording has been revised Documents serve as the starting off point for the conversation, ideas and suggestions
Phase 1: Initial Review of the Forms Forms can be found at: http://oregonstate.edu/admin/aa/apaa/academic-programs/curriculum/new-cps-input-process How to provide input: Download a copy of the form in which you want to provide input. Make changes in the Word document. PLEASE AVOID USING TRACK CHANGES MODE IN WORD. Use comments and different colored text or highlights. Phase 1: Initial Review of the Forms (cont.) What will happen to your input: All input/comments will be assembled into a single document. These comments will be reconciled in partnership with APAA, the Curriculum Council, Graduate Council, Baccalaureate Core Committee, and the Registrar's Office to create a Phase 2 version of each form and its associated workflow.
Phase 2: Placing Draft Forms into the new CPS March 1, 2015 - April 15, 2015 Reconciled versions of the forms will be built into the new CPS The CC, GC, EC, and frequent users will have an opportunity to interact with the forms online and provide feedback: Layout/flow Fields (descriptions, help information, missing fields) Workflow (who receives what when)
Phase 3: Secondary Review of the forms April 15, 2015 - June 15, 2015 The academic community will have the opportunity to interact with and provide feedback on the forms in the new CPS. An online feedback form will be available so comments and suggestions can be captured. Comments will be assembled and shared with the Curriculum Council, Graduate Council, and Baccalaureate Core Committee for final decision-making about the form's contents and the workflow process.
Phase 4: Final Editing of the New CPS Forms and Workflows June 15, 2015 - July 15, 2015 All approved edits from Phase 3 will be incorporated into the new CPS.
Phase 5: Migration Over to the New CPS Beginning July 15, 2015 The new CPS is anticipated to be open for business beginning in the Summer 2015. New system will be easier and quicker to make changes to forms and associated workflows, as needed.
