Time Regulations REGENTS EXAMS LOCAL EXAMS Morning Exams begin at 8am Afternoon Exams begin at 12pm Students MAY NOT turn in any test materials prior the uniform admission deadline Schools must admit students who arrive prior to the uniform admission deadline Morning Session: 10am Afternoon Session: 2pm 3 Hour Exams Morning release is at 10am Afternoon release is at 2pm 2 Hour Exams Release time at 1.5 hours 1.5 Hour Exams Release time at 1 hour 1 Hour Exams Release time at 45 minutes

ATTENDANCE All proctors will receive an attendance sheet Sheet must be COMPLETELY filled out even if all students are in attendance. Fill in the room number! Todd P. or Nate S. will be by to pick up attendance sheets and take them to Guidance. Denote if a student has refused accommodations and is in the main site, if you are aware of it. Guidance will call home and get students here ASAP.

Test Security All test materials must be turned in, with name on them Includes all scrap paper, used and unused Student answers, test scores and materials CANNOT be altered once handed in Collected materials must be logged with the student’s names prior to leaving the exam room. The lead proctor is responsible for this. Make sure students sign the declaration PRIOR to leaving the testing site. All locations must turn exams into the Main Office

Proctor Protocols: Student Support Proctors should point out the following to students: Questions that are blank** Must use Pen OR Pencil as directions state Questions with more than one multiple choice answer selected Answers that are not being recorded in the proper place, using the proper writing utensil Proctors may NOT comment to the student on the accuracy/sufficiency of the answer Proctors may NOT interpret, explain, review, or comment on exam questions or student answers Refrain from defining words, concepts or questions Refrain from suggesting answers or otherwise coaching students

Proctor Protocols: Scribing/Word Processing Write EXACTLY what is said by the student, even if you know the information is wrong or incorrect Tell the student to inform you when they want to: Begin a new paragraph Capitalize a word Other grammatical changes/alterations The student will place punctuation or tell the scribe where to place punctuation For students with Word Processing, they must use WORD PAD. Laptops will be delivered to your testing location if you have more than one person with Word Processing

Room Preparation Desks must be clear Place a “Do Not Disturb” sign on the door to help prevent interruptions Cover or remove all materials relating to the exam If the room is being used for accommodations, please ensure room is clear/covered Arrange the room in a way that all student are visible at all times Ensure room is well lit, ventilated, and quiet

Proctor Protocols: Pre-Exam TESTING DATES: Wednesday, June 1 & Tuesday, June 14 – Wednesday, June 23 Arrive 20 minutes before start time If you are giving accommodations, report to the lead special education proctor’s location to pick up exams Students will be released to the testing location 15 minutes before each exam Have materials organized and ready to distribute Black/Blue ball point pens must be used for Regents Scan Sheets** No. 2 Pencil for Local Exams Be familiar with exam instructions Assist in the distribution of exams

Proctor Protocols: Pre-Exam Electronic use message from NYSED THIS MUST BE READ PRIOR TO START OF EXAM Students are NOT permitted to have bags or any electronic devices in the testing area Follow protocols that have been established No communication devices in student’s possession

Proctor Protocols: Pre - Exam Calculators must be cleared If it cannot be cleared, it cannot be used Remove applications from graphing calculators Calculators that can manipulate symbols or communicate electronically are permitted Calculators that utilize wireless internet technologies are not permitted Public WIFI will be shut off

Proctor Protocols: During the Exam Continually monitor the testing area by walking around quietly and strategically positioning proctors Proctors should not use cell phones, complete grading etc. They should be circulating to ensure a secure environment. Maintain a quiet environment at all times Proctors are prohibited from discussing exam questions in person or electronically Students may be released to the bathroom one at a time per gender, with an escort

Proctor Protocols: Reading the exam Proctors reading the exam should be provided the testing materials at least one hour prior to test time, including listening passages The entire test must be read. Reader and student should EACH have their own copy Reading should be done in a neutral/natural manner There should be: No intonation No emphasis No explanation/clarification

TAKE NOTE!!!!!!! ALL ACCOMODATIONS MUST BE MET! FAILURE TO MEET ACCOMODATIONS = POSSIBLE LAWSUIT If you feel accommodations are not being met, immediately call the main office to notify Jen or Ryan.

Make Up Exams During the exam schedule, the parent must call and make the request from the teacher The teacher will confer with the coordinator to determine make up protocols

EXAM FRAUD Pair Up Exam Fraud is defined as: Define Fraud Exam Fraud is defined as: “The use of unfair means in taking an exam, such as obtaining aid from or giving aid to another person during an exam” Students suspected of fraud should be allowed to finish after warnings are issued and devices collected Any incidents should be reported to Joe or Ryan IMMEDIATELY following the exam Staff who engage in inappropriate conduct with regards to exams may be subject to disciplinary action or actions taken against their certification

Scoring Scoring should not start until the student declaration has been signed in pen or pencil Teachers may NOT score their own student exams This includes teachers of students assigned to Special Education/AIS UNDER NO CIRCUMSTANCES are schools permitted to rescore ANY of the open ended questions of any regents exam after each question has been rated the required number of times.

Emergency Evacuation Procedures All students must leave exams and walk quietly to the nearest exit When outside, all students must stay quiet All staff should cluster students into small groups to prevent forms of cheating

Important INFORMATION Main office is main hub for turning all tests in. Separate Locations return to Main Office. Conversations must be elsewhere! Please do not socialize in the main office. 3 Things to check prior to collecting exams: Signatures on answer sheets Black or Blue ink vs. Number 2 Pencil as required Department Coordinator will inform you No blank answers
