Excellence w/ e-Builder PMIS Why, What, When, How?

Project Mgmt. Information System (PMIS) A standardized software system and process utilized to efficiently manage Penn State design and construction project related work flows   Will be used by PSU and external vendors on all future design and construction projects to: improve the effectiveness of project teams streamline the facility project process accelerate turnover eliminate many of the project challenges experienced today Remind audience of what the PMIS is (in case some haven’t heard yet) Clarify the PMIS will used for projects, not WO’s and Maximo

Future State of Facility Project Information As Penn State embarks on a multi-billion dollar 2018-2023 capital plan, it is an opportune time to have an efficient system to perform project management workflows. Mention the selection of e-Builder as the PMIS Remind audience again that the PMIS will be used by PSU groups (not just OPP) and also external vendors

E-Builder Let’s take a quick look at e-Builder. First, everyone on the project team gets their own personalized dashboard where outstanding action items are listed. In 1 click, it will take them right to their project and allow them to get their work done. No more lost e-mails or piles of Post-It Notes. Now everyone operates as a team and everyone is held accountable for their part. Simple, easy-to-use and works across all projects.

Schedule E-Builder (Phase 1) go-live: January 7th, 2019 All new projects starting on or after this date Project Requests: December 21st, 2018 – no paper project request forms Project Request Freeze: December 21st, 2018 through January 7th,2019 January 7th, 2019 – electronic project request process will be live Training Options: Online / in-person November / December / January Volunteers needed for UAT+ in November Note the initiative began in 2016, consultant KFA approved in 2017, and e-Builder selected in November 2017 Phase 1 go live October 2018 and Phase 2 in 2020

Key Take-Aways PMIS is a standard system for managing project info and consistent workflows (i.e. Submittals, Documents, RFIs, Change Orders, etc.) PMIS is more than a Tririga replacement, it is a new way of doing business PMIS has the ability to improve processes and access to project information Go-live (required for all project starting design) is planned for Fall 2018 Regular PMIS communications via the Outreach Team, News & Views, and the PMIS section of the OPP Website Finally, this process will not be easy and there will be bumps in the road. We ask for your patience and guidance in making the PMIS a success. If you would like to participate in the development, please let us know! Remind group Tririga is not a PMIS Reference the website – can be found on OPP home page and go to Intranet, scroll down on right side for PMIS link Discuss the J-curve, it is reality but we want to minimize the dip in the curve – good communication and training
