JOH-JHO836-20070312-KT-P1 INTRODUCTION The Power stations attract academic tourists who visit for practical learning purposes. KenGen offers the best possible service to the visitors, in line with the Corporate Social Responsibility policy. The visitors range from primary schools, tertiary colleges and Universities.

PROBLEM STATEMENT KenGen spends a lot of resources to facilitate the academic visits. The staff who take visitors around disengage themselves from their official duties during working hours. There is a lot of telephone communication and paper work involved in arranging for the visits. This study intends to determine the cost KenGen incurs to facilitate academic visits in Seven Forks and to come up with suggestions on how these visits can add value to the company.

Questionnaires were also given to sampled visitors, and data analyzed. JOH-JHO836-20070312-KT-P1 METHODOLOGY Data collected for the Year 2014, 2015 and 2016 showing the number of staff taking visitors round, man hours used and associated costs. STRUCTURED QUESTIONNAIRE TO VISITORS JOH-JHO836-20070312-KT-P1 STRUCTURED QUESTIONNAIRE TO VISITORS A structured questionnaire was given out to sampled visitors in the month of March 2016. The survey captured a population of 1705 with a sample size of 29. The sample targeted one team leader per visiting group. The respondent filled in the questionnaire and the data collected was analysed.

TYPES OF INSTITUTIONS VISITING JOH-JHO836-20070312-KT-P1 TYPES OF INSTITUTIONS VISITING Findings % TYPE OF INSTITUTIONS The survey showed that: 52% of the institutions were secondary schools 41% were primary schools 7% were institutions of higher learning.

DISTANCE TRAVELLED Findings The survey showed that: 41.4% of the visitors covered a distance in the range of 51-200km 37.95% covered a distance range of 201-500km 13.8% covered a distance range of 10-50km 6.9% travelled >500km.

JOH-JHO836-20070312-KT-P1 COST ANALYSIS : The visitors are divided into groups of 20 and each group is guided by 1 technician. A technician is paid Ksh350/hr. (average technician earn Ksh 60,000/175.5hr per month. The average number of hours spent by visitors at the plant is 3hours. The total cost incurred equals cost payable to staff in terms of man hours spent while taking the visitors around plus the administrative cost incurred by the office for the visit. The total cost payable to staff equals to the number of groups of 20 multiplied by the number of hours multiplied by the money wage value payable to a technician per hour ( Ksh 350). The administrative cost incurred is Ksh 200 per group of 40 visitors.

CONSIDERATIONS ICT to automate the communication process by providing a self service portal on KenGen Website (cap the visits and eliminate administrative costs) KenGen foundation to take up this function, hire & train tour guides and use auditorium at Hydro plaza – consider charging a fee for the service. Scrap the visits by the visitors to the stations and re-direct them to Ndula Museum.
