Outline – SRR Lessons learned ESHAC #8 Recommendations 10th-11th of April SRR-1 Committee Report 2nd of August SSM Surveillance report, Observing the SRR-1 14th of August

ESHAC #8 “Recommendations” ”Clearly define the scope of the SRR and its added value with respect to the different acceptance tests, set its inputs and the expected outputs.” ESS-0177837 (ESS System Documentation prior to a Safety Readiness Review) was further developed after ESHAC #8 in order to provide more detailed scope and expectations. The document was released as rev 2 on the 25th of April. The safety classification of the system is explicitly required (section 1.4). CE marking and or Declaration of conformity added (section 1.10) . Sign-off template provided.

ESHAC #8 “Recommendations” ”SRR1 needs a very thorough preparation as SSM will be present. Complete a dress rehearsal SRR1 and don’t schedule it too early, to ensure that SSM take away a good impression of the SSR process when they come to observe. Consider involving SSM for feedback and eventually input for the definition of the scope and objectives of the SRR1.” Weekly meetings were held with all involved stakeholders following the plan for having the installations, tests and documents ready for the SRR. After the review, the meeting continued as a follow-up of the actions to be completed before a beam permit could be obtained SSM participated as observer at the SRR-1 and afterwards provided a Surveillance report from observing the SRR-1. (SSM conclusions on later slide) In August, SSM also visited ESS to observe how the organisation was working with the pre-start recommendations given by the SRR comittee.

ESHAC #8 “Recommendations” ”Ensure that the requirements for future SRRs are subject of a communication plan for in-kind contributors: much of the preparation can be done most efficiently as the inkind projects develop.” This should be a natural part of our work and was in some extent already considered prior to the first SRR through presentations at for instance: Acc Div Technical Board 2017-11-09 Brightness seminar 2017-11-30 It will also be brought up in the upcoming meetings during the autumn as preparations for the next SRR which will cover a review of "Test Stand 2a/b". In general there is an ESS ambition to initiate SRR preparations earlier.

SRR-1 Committee Report ESS actions based on the received comments on the ESS SRR Process Further clarifications in ESS-0123091 and ESS-0177837 the need to link the “Requirement specification” to the hazard identification. identify needed SRR competencies 3 months in advance. review documents available for the SRR committee 2 weeks in advance of the review Start specific SRR in-house preparations at the latest 3 months before SRR-2. Necessary to daily and more clearly state and implement work according to ESS-0016468 (Classifcation) and ESS-0041755 (Hazard analysis). Identify involved systems, belonging breakdown structure 6 months in advance. Include introductory presentations at each SRR on the topic of SSM Requirements for Commissioning ESS Safety Configuration Management and Change Control ESS Managament of Repairs and Modifications

SSM Surveillance report Observing the SRR-1 SSM Conclusions SSM recommends clarified rules for the SRR committee composition. When 3 of 7 SRR committee members are ESS employees, it confuses the understanding of the SRR committees independence. SSM will continue to participate as observer and prioritize to observe as a participant at-site, and not via Skype as during this first occasion. The possibility to participate as observer has provided valuable information about the the ESS process for Safety Readiness Reviews the way reviewing is conducted for upcoming surveillance / activity monitoring of the IS&Lebt.
