4P PRINCIPLE Success of the management depends on these important factors: People Process Production Progress © 2016, STC INDIA CHAPTER

CANDIDATE SELECTION MATRIX Recruiting a right candidate is the foremost factor of successful management Average skills + correct attitude Above average skills + correct attitude Excellent skills + correct attitude Excellent skills + wrong attitude Adaptable and lesser abilities Adaptable and better abilities Best abilities and adaptable Best abilities but not adaptable Can be trained easily but need to be patient for results Can be trained easily and results will be as expected. Requires less training and can produce results. May go into negative mode if good ideas are not encouraged. Requires less training, but always in negating mode. Always wants the ideas to be heard. Team player Team player but requires special focus Not a team player. Looks for individual goals. 3 1 2 4 © 2016, STC INDIA CHAPTER

TEAM COMPOSITION Team should be rightly balanced with youth and experience. Too much inexperience or too much experience can hinder the team dynamics. Energetic youth have good writing abilities and have interest to work on different types of documents and use these as learning opportunities. With avid interest in writing, it helps them to work towards hard deadlines. Experienced members have good writing and reviewing abilities, but might not have equivalent physical abilities to work for long hours. However, with wealth of experience, they can deal and troubleshoot critical situations. © 2016, STC INDIA CHAPTER

PROBLEM SOLVING Identifying Priorities: Organizational success lies in solving a problem together rather than identifying people as problem. Openness: Issues related to writing, technical, and attitude should be dealt sensitively on a 1- 1 basis. Imposing or exaggerating comments during reviews could hamper the self-confidence of an individual. Allow employees to speak up about their problems without being judgmental. Take risks: Allow employees to take initiative by calculated risks without being held for the outcome. There could be glitches but could also result to new findings. Leaders being appreciative: Appreciation and Recognition are two important factors that can boost the confidence levels. As leaders, don’t wait for an opportunity, whereas create opportunities to appreciate and recognize employees. Lead by example: Delegate the work by taking the responsibility irrespective of the outcome. This inspires the employees to have free mind and contribute better. © 2016, STC INDIA CHAPTER

FUN LEARNING No environment is as conducive when something is mixed with fun. Monthly online quizzes on Style Guide, writing processes, can improve competitive spirit within the team. Quizzes help in self-evaluation and also help managers to identify employee strengths and weaknesses. New innovative ideas should be invited and encouraged that can improve the quality and productivity of documentation. Successful ideas should be suitably rewarded. Teams with bigger composition can have team-wise learning activities. This will allow all team members to interact with unfamiliar members and also help build positive spirit in the team. © 2016, STC INDIA CHAPTER

SPRINT-BASED LEADERSHIP A new concept that allows all the members in a team to lead at least once and provide new ideas. A project is broken down into different sprints. Each sprint shall a different leader, editor, tech reviewer, and a set of writers. The leader of one sprint could be an editor, writer, or a tech reviewer of other sprints. This setup will not only provide an opportunity for cross-functional reviews but also allows to view the documentation from end-user perspective and work upon better user assistance. Provides every member to lead a team and also present innovative ideas from different angles. Reduces burden on Single Point of Contact (SPOC). Provides an opportunity to groom next level of leadership © 2016, STC INDIA CHAPTER
