Work Folder Procedures Intro to CVE/WBL Work Folder Procedures Before we begin: Pick up a folder Find your name label & place in center top portion of the folder. Retrieve your returned class (signed) forms & hole punch, if needed. Introduce them to CVE and how it fits in to our curriculum. 1 1

Let’s start by looking at your Training File Checklist! It’s a salmon colored document. These forms are required for ALL, employed or unemployed. This checklist will serve as a guide for keeping your folder organized. Please be sure you have ALL of the following items assembled & in the correct order. A complete folder is mandatory to pass the class because much of its content are state mandated documentation. The forms below the bracket are for employed students only.

First, let look at the communication log. Initial it once you’ve read it Notes from teacher or student This simply serves as a tool for the student and teacher to communicate back and forth about work folder concerns or questions. Example – student is missing paystub for Week 2 so you write him/her a note, they read it and initial it, and then they can fix the problem identified.

Next is where your signed class contract should go. Marketing is green EBO is blue Be sure to tell them that everything must be in order. Be sure to also tell them to turn in their class contract first before putting into their folder to ensure you have a record of it and can give them points, if you want to assign points for it. I make it a assignment for points because that way it shows up in their grade and there is no way they can say they never received the contract. 

Next is the ROP Parent Acknowledgement of Annual Student Notifications Signature Page (white) Be sure it is signed on both sides.

Next…DECA Parent Letter Be sure it is signed by both you and a parent.

Employed Students Only Students under 18 must have a valid work permit. It must be renewed at the start of each school year. Work permits are issued at the PUSD District Office. If they are 18, they can copy their CDL and tape it to the training file checklist inside the dotted box.

Next is the CVE Training Agreement This is a written document which describes the conditions and requirements to be met by those parties (school, employer, student, and parent) involved with the utilization of business and industry resources for vocational instruction. Signatures needed

Next is the Individual Training Plan (ITP) Training goals This is a written document which identifies those competencies the student will acquire through vocational classroom instruction and unpaid on-the-job training experiences. It helps to give them goals to strive for that will be evaluated with each quarterly evaluation.

Next is the Semester Hour Summary (pink) Max 15 hours a week 1st three columns – for teacher use only Last two columns – Weekly total and accumulative running total Be sure they know to keep their accumulative running total current. This will help them assess whether they are on track to earning the maximum credits. Students can only count 15 hours a week. Students with a special work experience permit can work longer hours than regular employees and up to 28 hours a week (which is obviously strongly discouraged) but they can not count more than 15 towards their accumulative total.

For those that are unemployed, use the dates & week numbers for your timesheet alternatives Mark zeros  Dates & week #’s For students that are unemployed, they will do article reviews in lieu of time sheets. It is imperative that each one is labeled with the dates and week numbers in order to get time sheet points.

WBL Reflection NEW this year! Every Monday we will spend the first 10 minutes updating work folders. Students that are employed complete time sheets and staple in paystubs. Those that are unemployed do article reviews that are equivalent in points to the timesheet. The state allows co-op students to claim from 1-15 hours per week with a minimum of 180 hours required to earn 10 credits for cooperative work experience each semester. Add this to the 5 credits they receive for regular class attendance and you have a total of 15 credits per semester. Hours must be recorded weekly in student work folder and verified by a paystub*. Reduced work hours or time without a job will result in fewer credits. Student must have a passing grade in the class to receive co-op credits. * Alternative documentation may be accepted to verify hours, due special circumstances. See instructor for details. Only need employer signature if you don’t have a paystub. Save all work for online submission

For those that are employed, you will have a quarterly employer evaluation. 10% of each quarter grade Do well on your job and you will likely do well on your employer evaluation! At the end of each quarter students will be evaluated by their employer and it will count for 20% (10% per qtr). If a student is not able to seek employment due to involvement in sports, academics, health issues or other personal reasons, a current “no job” contract (signed by parent/student) must be kept in his/her work folder. The students’ grade will then be derived solely from their classwork and work folder; the employer evaluation component of their grade will no longer count for or against them. If the student is eligible to resume working, the contract can be voided and the student will then be obligated to submit all work related requirements.
