Mass Run Financial Reports The Mass Run Financial Reports process allows multiple financial reports to be run by the push of a button! You have the ability to create multiple reporting groups with different reports and parameters. You do not have to set up the Report Specifications and Parameter Values each time you want to run the Reporting Group. You can set up Group default values to change the Year, Date, Periods, Scenario No and Report Specifications on all applicable reports within a reporting group. You can also use the Open in Spreadsheet functionality. You can copy one reporting group to create another reporting group.

Mass Run Financial Reports Reporting Groups – SRUTL01A.FMX You may need to add this program to your menu.

Creating Reporting Groups Group ID – Can enter up to 6 numeric characters. Description – Free form to type your own description. Run button – This run button will run all of the reports within a Group ID. Group Defaults – Will be discussed in detail later in the presentation.

Adding Reports Seq No – Is the order you want the reports to run. File Name – Select from the LOV the report you want to run. Description – Automatically populates with the report name.

Adding Reports Comment – Displays when you populate the Comment field on the parameter form. Spreadsheet – Check this box if you want the report to open in spreadsheet. Parameters – Shows the parameters for report. Run – This run button will run the report(s) individually. Inactive – Mark the report inactive if you don’t want it to run. Check/Uncheck All – This box will mark all reports inactive or unmark all reports to be made active.

Setting Up Report Parameters Use the Parameters button on the Reporting Groups form to access the Report Parameter Values form.

Parameter Setup Report – Populates automatically for the report selected. Comment – You must enter a comment before you can save the parameters. This value populates on the Reporting Group field in the Comment field.

Report Specification Setup Year – Select the year that you would like to run the report for. Report No – Once the year is selected the LOV will display only the report Specs available for that year. Continue with selecting the appropriate Periods, Report Mode and if you would like to see accounts with a zero balance. Style – Only used for Variable Column reports. Parameter Source – Controls if you want to use the Group Default or the Report Spec values.

Parameter Setup Group Defaults – Displays the values from the Reporting Group form. Parameters – Lists the runtime parameters for the report. Parameter Values – The LOV is populated with the available parameters. If the field does not have a LOV on the runtime then you can key the value. Parameter Source – Controls if you want to use the Group Default or the Parameter values. Required – The checkbox is selected if the field has an asterisk or LOV.

Group Defaults Group Defaults are setup on the Reporting Groups form. They are designed to allow you to change the Year, Date, Periods or Scenario No in mass for specific reports within the Group ID. The Group Defaults are only used for the parameters that have the Parameter source set to Group Default.

Copying Reporting Groups You can copy from one group to another group

Balance Sheet Example The Comment was updated once the parameters were saved. Report Specifications are not used with the Balance Sheet Summary. The Year parameter is using the Group Default value.

Expenditure Detail (Report Specs) Example Report Specifications are used with the Expenditure Detail report. The Style is only used with Variable Column reports. Cutoff Date is not a required parameter.

Variable Column Example Added Period defaults to the Group Defaults. Report Specifications and the Style are both used. The Report Specifications are set to pull the Year and Periods from the Group Defaults.

File Name LOV The File Name LOV displays all of the Available Reports. Once a Report is added to a Reporting Group it is also added to the list of Available Reports. You can see the three reports I added are displayed at the end of the list. This is why we stress using descriptive comments.
