Tetra Pak – eCommunications Lennart Hagberg Webmaster & Functionality Lead Tetra Pak – eCommunications

eCommunications Part of Corporate Communications Responsible for Corporate Internet site ORBIS – the Tetra Pak Intranet Electronic communication in general Internet: Driving and developing the dotcom site and push our tool for building sites (Toolbox). The ultimate goal is to have a coherent and consistent presence on the Internet, no matter which Tetra Pak company it is. And also to share applications, content and leverage as much as possible from each other. Elisabeth Christensson is frau Internet. Orbis: The web master and infomaster are both members of the team. We update and handle our responsibilities concerning old Orbis.  New Orbis: Driving the further implementation and development of our portal-based intranet.  Electronic communication in general: Looking out for ways of improving our ways of working in a more efficient way.

ORBIS Tetra Pak Global Information Network

Why did ORBIS need to be changed? 1997 2,500 pages 8 sites 2003 +400,000 pages +300 sites 170 employees, maintenance Manuscript: As you can see, when Orbis was first started, the amount of information was so limited as to be quite manageable with our existing system. But now it is like an overgrown garden. Although the individual sites are fine in themselves, the sum of them is not. We have too many different designs, navigation systems and information is often duplicated. This makes it slow and frustrating for users. We know users have been frustrated because they have told us so.

Why a new ORBIS...? ”The personal portal will become a strategic information management tool for Tetra Pak. It is the gateway to information contained in the Internet databases and will allow all Tetra Pak employees to access information in a personal way suited to their working needs.” Nick Shreiber

Why a new ORBIS...? ”The Tetra Pak systems strategy is to treat all our systems as Internet databases and ensure that the information links between them are as standard as possible. Tetra Pak must therefore adopt common Internet tools so that information can be shared effectively at a manageable cost.” Nick Shreiber

Why does it have to take so long? It’s not only about publishing content It’s a platform for the future It is prepared to become a ubiquitous network for communication and collaboration across borders* *) systems, sites, organizations, content, internal, external etc.

Manuscript: Quote from Lennart Hagberg, Orbis webmaster. Now, let's take a look back at the history of Orbis and consider why it needed to be changed.

Level 1 These have been the guiding principles in developing Orbis have been the following: 1. Collaboration: We could use classic Orbis to inform and communicate with one another - new functions make it possible to do them both more easily and effectively. Plus, we now have tools which make remote collaboration a practical alternative to face to face meetings.

Level 1 2. Gateway: Users can get into all the applications they need and find all the information they need through Orbis. Each individual, can opt to receive the information he needs to do his job. Others (with his interests in mind e.g. members of the same community) can also make relevant information available to users through Orbis.

Level 1 3. Roles: Orbis is set up in such a way as to reduce the information overload as far as possible. People will still be able to send one another information, but it will be much more accurately targeted than ever before. And the main reason for that is that we will all have roles: some given and others defined or chosen by ourselves. Roles mean we'll be able to find the relevant people to communicate with and they will be able to find us.

Level 1 4. Mobility: The long term goal for Orbis is to make it possible to access the Intranet (your own personal portal) wherever you are, whenever you want, and from any device.

Communication objective All content & functions will be published or unified into ORBIS Personal meetings – 20% ORBIS – 80%

Long term portal strategy A common platform Coordination of initiatives and activities Many systems, one interface Focus on usability And where does new Orbis come into this and what is the objective of the intranet in the portal?

Where are we heading?

The Cornerstones Portal Global Directory CM

The Portal is used to personalize is a single point of entry to information and services, internal as well as external has no content of its own but delivers functions and content includes integration of applications Portal Global Directory CM

The Content Management all the content into one bucket categorize and target information Portal Global Directory CM

The Global Directory create dynamic groups based on function, position and choice keep track of groups and people Who is who with e.g. knowledge networks Portal Global Directory CM

Portal Other systems Global Directory CM

Why integrate a Global Directory? Access to people data is crucial People Groups Companies Organisations Locations External people and companies in 2005

What can I do with it? Build organizational structures with organizations and companies Build group structures with groups in groups

What are the bits and pieces that make up new ORBIS? How it’s done What are the bits and pieces that make up new ORBIS?

Green bytes green bytes n. “Meta-information embedded in a file, such as the length of the file or its name.” One of the most important data about data is to know to which group the information is targeted By adding green bytes it’s easy to sort out what is intended for whom without necessarily limiting who has access
