Auxiliary Meeting Wednesday, March 31, 2010

Agenda Wednesday, March 31, 2010 Welcome Scripture Prayer New Business Christian Education workshop Remarks………………………Pastor Benediction

Christian Education Committee Goal: Establish Christian Education Committee at every church. Consist of: Pastor Christian Education Director Assistant Director Secretary/Treasurer Historian Parliamentarian Public Relations Reporter/Community Liaison Lay members (2) Auxiliary Presidents

Auxiliary Events Pastor, Christian Education Director and/or Assistant Christian Education Director should be aware of every auxiliary event and activity.

Auxiliary Meetings Every auxiliary should meet at least once every quarter. EXAMPLE: Sunday School Superintendent should meet with his/her staff at least every quarter to discuss policies and goals/objectives. What is the policy/procedure when a teacher is unavailable at the last minute? What are the attendance goals of Sunday School? How will you know when you have met set goals? What evaluation tools will be used? Every meeting should have an agenda and that agenda should be made available to all members. Every auxiliary should have officers (if available) Pastor and Christian Education Director (Assistant) should know auxiliary meeting dates and time. Christian Education Director (Assistant) may at any time attend your auxiliary meetings.

Auxiliary Meetings cont…. Christian Education Director (Assistant) is available to do workshops during your meeting times. Auxiliary Presidents should become familiar with Parliamentary Procedure and should have a Parliamentarian. Dependent upon the Pastor’s discretion: Every auxiliary can choose to have a sick committee and program committee. The sick committee makes a report of sick members and the program committee plans programs for the auxiliary that are beneficial and uplifting to the auxiliary and church.

Quarterly Conference Quarterly Conference reports for your auxiliary should be typed and presented to the Pastor and Christian Education Director at least three days prior to Quarterly Conference. Reports should say more than “we are doing fine.” It should list actual events or activities. Let’s try to steer away from writing out or typing the report the day of or during Quarterly Conference.

Quarterly Conference Example: The Mother Board department visited 7 sick members in the month of April. Example: The Trustee Board had 3 members to resign and 1 new member in the last 90 days. Example: The Ministerial Staff had a “Joy Night” program at Cutts Chapel FWB Church on April 16, 2010 and the money raised will help benefit the building fund. List future goals for your auxiliary in your report. Example: The Kitchen Committee’s goal for the next 90 days is to conduct a kitchen safety and sanitation workshop for the members.

Auxiliary Information Christian Education Director should have the following from each auxiliary: List of members and offices Contact information for the President and Vice-President of each auxiliary (mailing address, numbers, and email address) Designated meeting times and dates Keep all auxiliary information updated quarterly.
