Name of Species The data type is set to Text. This because each species has letters, spaces and punctuation. For example, ‘Gorilla’ and ‘Orang-Utan’ are described using only spaces and letters. The field size is reduced to 50. This is because most of the species will not be more than enough letters than the field size and by doing this it reduces the database’s file size. The field is required and therefore it must be populated. Nothing will be imported if this field is left blank. Yes (No Duplicates)’ has been selected. This is so that when it comes to imported, there will be not any more than one of the same species. For example, if you had ‘Orang-Utan’, there would not be two of it.

Group The data type is set to Text. This because the Group has letters, spaces and punctuation. For example, ‘Bird/Insect and ‘Mammal’ are described using only spaces and letters and also forward slash. The field size is reduced to 50. This is because most of the animals in a group will not be more than enough letters than the field size and by doing this it reduces the database’s file size. The validation rule limits the data that can be imported or entered to be the specific groups allocated. For example ‘Mammal’ or ‘Fish’ The validation text is the warning that comes up if the user tries to enter information other than the groups. The field is required and therefore it must be populated. Nothing will be imported if this field is left blank.

Group Display Control is changed to ‘Combo Box’. This is so the user can choose from a drop down box after you have created the drop down box with all the options on. To enable the right size for the drop down box, you need to change the list width to at least 4cm. We will make the drop down box for the Group bigger so that you can see the options and what they classify as on the database.

For example, ‘http://www.wildcare.org.uk’ The field size is ‘40’. This is because all the hyperlink’s that are entered are most likely to be more than 20 letter words. Also, by reducing the field size, this also reduces the size of the database. The field is required and therefore it must be populated. Nothing will be imported if this field is left blank. The indexed section needs to say Yes (Duplicates OK), this is because each individual may repeat the same hyperlink that someone else had said.

Adoption Cost The data type is set to Currency. This because each species has an adoption cost. For example, ‘Gorilla’ and ‘£30.00’ are described using only numbers and to 2 decimal places. Decimal places is set to 2 because that is what the website requires. The validation text is the warning that comes up if the user tries to enter information other than the groups. This warning tells people that the number entered must be to 2 decimal places. The field is required and therefore it must be populated. Nothing will be imported if this field is left blank.

Importing Data I imported the data using the text file from the website and all of the data was imported successfully, none of the records were rejected. There were 174 records altogether. I made sure that there was the right amount of records in my database.

Data Entry Form Initially I created a simple data entry form, I did this by clicking the ‘create’ tab on my database and selecting ‘form’

Data Entry Form This shows the before and after of how I made changes to my data entry form. The picture on the right show the keep I added so the codes used were understandable. I changed the font and added my own icon to replace the default one to make it more my own. I also changed the colour scheme to make it more interesting and appealing.
