BEST PRACTICES: INTERNAL CAMPUS SUBMISSIONS AND ARTWORK APPROVAL

REGISTERED TRADEMARK SYMBOL Correct Uses Rules of thumb: When using an official departmental wordmark, there is never a registration mark after The University of Oklahoma Interlocking OU always has a registration mark When using any university verbiage for, there must be a trademark subscript after (i.e Oklahoma) “The” must ALWAYS be present in front of University of Oklahoma The departmental mark must always be the most prominent logo on the item The registration mark associated with the seal must always centered directly below

THE MOST COMMON ARTWORK SUBMISSION AND TRADEMARK ERRORS Never submitting the internal request form Promo item is too similar to retail product Misplaced/Missing registered trademark symbol Group is using an unapproved manufacturer Student group doesn’t abide by student organization policies Incorrect use of the Oklahoma Seal/Seedsower Using other trademarks/pictures without proper permission Not using white outline around the interlocking OU on dark background Group makes a reference to politics, religion, alcohol, and or firearms. The color orange is used

INCORRECT SUBMISSIONS #1 #2 #4 1- must have white outline 2- needs to have a departmental mark (too close to retail) Otherwise, royalties will we charged. 3- HR is considered a design component. And this is only approved if the departmental logo is used (viewed and decided upon by Trademark Advisory Council) 4-This HSC logo is missing the university line and the BOLDED Health Sciences Center line (WILL BE TACKLING THE HSC campus branding soon) 5- The departmental logo needs to be used in the correct format (university line, health sciences center line and graduate college line moved up into logo) With proper font and sizing #3 #5

RECOMMENDATIONS TO MAKE LICENSING EASIER FOR YOU Remember that the approval of an item can take up to a week. Make yourself familiar with the internal request form Fill out the form in conjunction with the licensee submitting the artwork to our office Be as specific as possible on the request form (item details, event details regarding the requested item Always feel free to email us conceptual artwork before officially submitting Make sure organization/department name or official logo is on the design Designs that use other trademarks/schools/logos may take longer than one week to approve Have a plan B in mind

EXEMPTION POLICY ROYALTY BEARING Any Product being sold at retail (local or standard license only) Promotional products that would impact the retail marketplace Any product that uses any OU trademark in conjunction with another logo, if distributed by a third party off campus EXEMPTIONS University purchases for internal consumption
