Overview GRACE Art & Amazing Earth Art Program provided by the Greater Reston Art Center (GRACE) Science Program created by Shallon Hartke, a former parent & science lover 5 sessions (Oct, Nov, Feb, Mar, Apr) 5 sessions (Oct, Nov, Jan, Feb, Mar) Offered K-6 Offered K-5 Same presentation school-wide; activities may vary based on grade level Grade level specific topics and activities that supplement classroom curriculum Teacher Workroom: Supplies on the Art Cart by the Cabinet (2 carts by grade) Teacher Workroom: (NEW) Supplies on shelf along the right wall; bags marked by grade level Phoebe Avery, Julie Hanssen Harris, Maggie Booth Elaine Turner, Louise Gordon Radics & Renee Blosser

Classroom Coordinator Scheduling Steps Coordinator consults with teacher for session dates (at least 2) and notifies GRACE/AE Lead GRACE/AE Lead notifies classroom coordinator that the calendar, presentation and activity are posted on PTBoard
Classroom Coordinator Volunteer Sign-Up Steps Coordinator creates volunteer sign-up on PTBoard 1 presenter 2-4 helpers based on grade level and activity Send at least 2 weeks out Coordinator follows up that slots are filled or re-requests volunteers let the GRACE/AE Lead know if having difficulty change date if needed
Classroom Coordinator Communication Steps Coordinator notifies volunteers: where to view the materials in advance (PTBoard) how to access presentation in the classroom where to get activity supplies please plan to arrive 15 minutes early to set up please return all materials promptly have fun and don’t think you have to know all the answers! Ask what the students think or google it. Messages can be sent through PTBoard Please share session feedback
Classroom Coordinator “I Need Help” Steps Need to reschedule? Coordinate a new date with the teacher Confirm with the GRACE/AE Leader Need a presenter? Ask if someone will present on a different date/time Notify GRACE/AE Leader to help brainstorm or maybe cover
The Power of PTBoard SVES PTA Website, we use for: Program Leads can: Volunteer sign-ups Sharing session materials and information Posting classroom pictures Sending announcements/messages Our own private Coordinator group Program Leads can: View each class Be a back-up for emergencies Post pictures
The Power of PTBoard Campaign to create an account and be connected Web Team sends email invite to parents, asking them to create a PTBoard account Once invited parents receive the weekly PTA newsletter through PTBoard Parents must create an account to receive access to all of the PTA's website They must join their child's classroom(s) for access to the class A template message was created for Coordinators to email to parents encouraging them to create an account
