Welcome to UniCorp Services, Inc. Scanning Presentation

When a record has been prepared for scanning UniCorp Services will…… 1.SET UP AN ELECTRONIC FILE ROOM 2.SCAN THE RECORDS INTO A DATABASE 3.INDEX THE RECORDS FOR SEARCH and RETRIEVAL 4.STORE THE RECORDS DATABASE IN THE ELECTRONIC FILE ROOM 5.COPY RECORDS TO ANY STORAGE MEDIA

UniCorp Services Electronic File Room To set up a file room we click our file cabinet icon

Inside of the file room we …………..

Create file cabinets

with drawers…………

that contain folders to hold the scanned record

Our unique administrator tool allows US to index the records for storage and retrieval We can also configure the entire database for SECURITY and SEARCH purposes

SECURITY We control access to this program with a user I.D. and password

SECURITY Determining who has access to file cabinets, drawers and folders is an option that can be extended to our clients. Password Protection is a strong deterrent to computer hacking, unauthorized viewing and even theft. The more passwords there are, the less likelihood of a breech.

Password Protection PASSWORD PROTECT The file cabinet the drawer and the file folder for three levels of SECURITY inside the file room

Search Capabilities In the file room you can search for a folder a drawer or a record

Enhance search capabilities and increase accuracy by…… setting a range of parameters to help pinpoint the search

Storage The UniCorp Services file room is a database. Records scanned into the file room are indexed according to client specifications and can be stored on different media type. The stored database can be accessed through LANS, WANS and INTRANETS. UniCorp Services recommends that the database be stored on a file server and copied to CD-ROM for redundancy in case of loss or damage.

CD-ROM Storing your records on CD-ROM reduces costs and makes employees more efficient in their abilities to access and retrieve data. UniCorp Services can copy client records to CD- ROM at the click of a mouse button. Our file room administrator allows US to master the CD-ROM creation process for accuracy and client driven requests.

Our CD Mastering tool allows US to copy the contents of an entire file room to a CD using the same file format and root structure that was used to scan and store the record
