Attendance starts today Be sure you sign in the attendance system using your MyID Get bonus points Questions/Issues—talk to me after class TODAY 2/17/2019

Attendance Go to https://cs101.wvu.edu/tools/record-attendance/ to record attendance. Enter your MyID username and password. 2/17/2019

Last Class.. Worksheet and Workbook Rows Columns Cells Active Cell Display cell formulas 2/17/2019

Objectives Use AutoFill Manage worksheets, columns and rows Select, move, copy and paste Apply alignment and font options Apply number formats Select page setup options Print a workbook Functions 2/17/2019

Using Auto Fill Auto Fill enables you to copy the contents of a cell or cell range or to continue a series using the fill handle Example: Month names Jan, Feb, Mar form a series The fill handle is the small black square in the bottom right corner of a cell Fill Handle (for Auto fill) 2/17/2019

Managing Worksheets Renaming a Worksheet Changing the Tab color Inserting a new Worksheet Deleting a Worksheet Moving a Worksheet Copying a Worksheet 2/17/2019

Renaming sheets, tab color By default you get three sheets – Sheet1, Sheet2, Sheet3. Name them to what is relevant to the task, don’t ever leave them at the default names. To delete a sheet – right click and select delete To insert a sheet – right click and select insert or click the insert sheet icon to the right of the last sheet To change Tab color – right click and select Tab Color. This can be very helpful when trying to locate a sheet in a workbook with multiple sheets. 2/17/2019

Managing Columns and Rows Inserting Rows and Columns Deleting Rows and Columns Adjusting Column Width Adjusting Row Height Hiding Columns and Rows 2/17/2019

Selecting a Cell Range A range is a rectangular group of cells A nonadjacent range contains a group of ranges that are not next to each other 2/17/2019

Moving/Copying a Range Moving/copying a range preserves text and values, but cell addresses in formulas will be altered in the pasted location Move a range by cutting it and pasting to the upper left corner of the destination Copy a range can by copying it and pasting to the upper left corner of the destination 2/17/2019

Formatting Number: Control how numbers are displayed Alignment: Control how text behaves inside of cell Font: Control the color, size, look of text in cell Border: Create lines around and between cells Fill: Control the background color of a cell 2/17/2019

Formatting cells Sometimes you might need to format the appearance of a cell. It accentuates and draws attention to meaningful portions of a worksheet There are 12 different formatting options: General, Number, Currency, Accounting, Date, Time, Percentage, Fraction, Scientific, Text, Special, Custom. 2/17/2019

Cell referencing Used in formulas so that they can be copied and reused easily. In some cases, we want the references to cells to move down, or over as we copy the formula. In other cases, we do not want the reference to change even if we do move. 2/17/2019

Relative vs. Absolute Addressing Relative cell references change relative to the direction in which the formula is copied Absolute cell references are exact; they do not change when a formula is copied Indicated by dollar ($) signs in front of the column letter and row number Most often used when the value need not change Use the F4 key to toggle between relative and absolute cell referencing 2/17/2019

Cell References(Contd) Relative reference A1 Column absolute mixed reference $A1 Row absolute mixed reference A$1 Absolute reference $A$1 2/17/2019

Avoiding Circular References A circular reference error occurs if a formula refers to itself 2/17/2019

Semi-selection(Pointing) Semi-selection uses the mouse pointer to build a formula containing cell references or ranges Click the cell where you want to create the formula. Type ‘=‘ sign . Drag the cell range that contains the value. Type the operators. Continue selecting the cell ranges . Press enter to complete the formula. 2/17/2019

Paste Special The Paste Special command is used to paste data from the clipboard using a different format 2/17/2019

Page setup and Printing The Page Setup Dialog Box Launcher contains many common print-related options 2/17/2019

Page setup and layout - example At some point you have to print your worksheets Click on Page Layout and the icon for Page Setup Now you can specify options for whether the page will be in Portrait or Landscape style Whether you want to fit the contents to a single page You can also specify margins You can also set up headers and footers You can also print gridlines, row and column headings, etc under the Sheet tab 2/17/2019

Headers and Footers A header is content appearing at the top of each printed page A footer is content appearing at the bottom of each printed page 2/17/2019

Functions Function is a pre-constructed formula that makes difficult computations less complicated. Excel provides many inbuilt functions- Already has the formula information; just requires cell references. Take values, perform operations, and return results. When using functions adhere to the syntax A function begins with the equal sign (=) followed by the function name and arguments in parentheses Example: =SUM(A1:A3) 2/17/2019

Inserting a Function When a function is typed, Formula AutoComplete displays a list of functions matching the partial entry Use the Insert Function dialog box to search for a function or select one from a list. 2/17/2019

SUM SUM is the most commonly used function represented by a sigma () Adds values within a specified range Syntax refers to the grammatical structure of a formula Must adhere to stated structure of formula Arguments are values ─ used as input and returned as output Example: = Sum (B1:B10) Function Name Arguments 2/17/2019
