ACNA Conducting a Meetup Llewellyn Dawn Smith, MSN RN Treasurer Membership Chairman Welcome, Llewellyn Smith, Treasurer for the American Cannabis Nurses Association Thank you for attending today's first National meet up Meet ups and chapter formation are frequently requested by our members Today’s focus is on the”nuts and bolt’s” of conducting a Meet up

ACNA Mission To advance excellence in cannabis nursing practice through advocacy, collaboration, education, research and policy development ACNA’s mission is to advance excellence in cannabis nursing practice through advocacy, collaboration, education, research and policy development Meet ups contribute to ACNA’s mission by fostering collaboration, education on a regional and local level Cannabis laws and policy differ from region to region. We have streamlined the meet up process to be easier to conduct. The trial period begins this fall. Revisions will be made based on member feedback ACNA hopes that meet ups might act as a seedling for chapter Creating an additional opportunity for supporting cannabis nursing practice regionally Display ACNA mission statement at every meet up

Regions Northeast Mid-Atlantic Southeast Northwest Southwest Central and Mid-West

Deciding to conduct an ACNA meetup Comes with responsibility Follow ACNA guidelines and processes What type of meetup – virtual or on ground Who to invite Join your regional FB group Utilize your member logo Our objectives for today include: Identifying responsibilities for following ACNA guidelines and processes Volunteer to administer the group, consider a small circle of members to act in this role Establishes a foundation for future development Choosing the type of meetup Inviting members and guest Naming the group

ACNA Guidelines Avoid endorsing products Protect ACNA logo Utilize online resources for Meetup Register online to obtain ACNA email address Avoid presentations "commercial" in nature Should facilitate member involvement and create agendas to meet member needs

Rules of Gathering ACNA labelled event led by at least one local ACNA member in good standing Formal agenda developed in advance Non-profit operation, no fees should be charged Marketed through ACNA website & results reported back to ACNA No on-site cannabis consumption Use free available space Record and report documentation

Documentation Roster of attendance, date and location Agenda Minutes Pictures Presentations Sponsors E-mail records to llewellyn@cannabisnurse.org Standardized forms accessible through our ACNA meet up webpage Complete documentation and email to llewellyn@cannabisnurse.org for record keeping. Save your regions records in a personal file, as a regional leader this is part of your responsibility. Information may be used in the ACNA newsletter and other promotional materials

ZOOM ACNA meeting tool Use your email address to create free account Create a Zoom account to utilize their free video conferencing services You may have up to 40 minutes of free conferencing for each meet up This is just long enough to share a concise agenda Tight time frame keeps members attention Break out sessions can be created for specific purposes Tutorials for use are available on the web site

Facebook Assess regional meetup groups under community on the main ACNA Facebook page Use as an alternative to the forums Post ongoing communications Umbrella system where meetup groups participate Limited to members only A group FB page under the ACNA main page establishes a place for your regional group to communicate https://www.facebook.com/ACNA The group might post discussion about local cannabis nursing issues Establish as place for ongoing communication Is limited to invited members only

Types of Meetups Virtual On-ground https://cannabisnurses.org/admin/website/?pageId=1765568 There are two types of meetups: Virtual or in person on ground Both types can be easily managed with a little effort and by following our new process. Information to conduct a successful meet up can be found on our website -select link to demonstrate to the viewer! Review the page

Virtual Meetup Conduct online using virtual meet up tool Create a group name to use as email address Request ACNA create cannabisnurse.org address Establish Zoom Account & FB page Set a date and time Invite members A virtual meet up can be easily conducted First go to the meet up line on our webpage Follow the instructions found there for a virtual meet up Utilize your regional group name Create a Zoom account using your cannabisnurse.org email address https://zoom.us/ Create a Facebook page using your group name under ACNA’s main page https://www.facebook.com/WeareACNA/ Once you have your FB page access, establish a date and time Invite members/nurse to join the FB page. Use membership directory found on our website to obtain local contact information. Invite trusted friends

Virtual Meetup Prepare and distribute Agenda with Zoom invitation Prepare any presentation you may want to share Topic on relevant cannabis nursing practice Utilize the documentation found on ACNA meetup page Take attendance and minutes Submit documents to the Google drive and share with: admin@cannabisnurse.org Create an agenda Prepare the presentation - any cannabis nursing topic that is relevant to your region (ECS, medication varieties, dosages, laws, etc) Take and submit minutes to the google drive

On-ground Meetup Selecting a location: Free public space vs privately owned space No individual fee for admittance Allowed: restaurant reservation with each individual having option to purchase food at his or her discretion Not allowed: charging every member in advance to attend a meeting at a restaurant with a down-payment For an on-ground meetup, do all the things you do for a virtual meetup, omitting or including the Zoom process (may do both) Selecting a public library or other free community spaces is an economical way to conduct an ACNA on ground meet up Be careful not to endorse any products or business
