A Guide to Making Documents Accessible DEAC Presentation, 2018 Jennifer Kalfsbeek-Goetz, Ph.D.

Why Make documents Accessible? ISSUE Explanation: Format Accessible Word documents provide a logical format or structure to your word processed work. Screen Readers Accessible Word documents can be viewed by screen readers for people who are blind and visually impaired. WARNING! If documents are not accessible, a person who needs a screen reader has to review and re-review pieces of a document that the sighted can scan past to get to the substantive content of the document.

Making PowerPoints Accessible Open your POWERPOINT FILE on your PC (non-MAC) and go to the ACCESSIBILITY checker. GO TO: “File,” “Check for Issues” (under “Inspect Presentation”), and finally select “Check Accessibility.” Follow instructions next to your presentation in the right hand column. The top pane lists the issues with your presentation The bottom pane provides simple instructions on how to fix the inaccessible items parts of your presentation. As you fix inaccessible items, the “Inspection Results” (top right) will clear the error. When your presentation is fully accessible, the checker will indicate that there are “No accessibility issues.” Ensure all Website Hyperlinks are accessible: www.deac.org Add alt text and repeat header rows for all tables. Save as a PPT or PDF and rest assured you have provided for ALL of your students!
