K NIGHT L INE W AITLISTING O VERVIEW Waitlisting – Basic Description A waitlist is an automated process designed to give students the opportunity to quickly enroll in an otherwise-closed course as soon as new seats are made available. The following slides explain the various processes and procedures behind the Knightline waitlist system.

Waitlisting Overview When a course closes in KnightLine (i.e. all available seats are filled), a student will receive an error message that the course is full and they may be given the opportunity to add themselves to the course waitlist. Waitlists will typically have the same number of positions as the course has seats. If both the course & waitlist are full, additional students cannot be added. Seats become available when registered students drop the course or when faculty increase the number of available seats in a course. Students trying to add themselves to a waitlist will still need to meet all the normal course pre-requisites & restrictions EXCEPT for time conflicts. A student can add one section of a course and still be waitlisted in a different section (useful for when the preferred section is full). A student is not limited in the number of waitlists they can be on. K NIGHT L INE W AITLISTING O VERVIEW

Waitlist Prioritization System The default prioritization for waitlists is class standing first, and THEN the date & time of joining the waitlist. This means that a student who is first on the list will not necessarily remain first if someone with higher class standing is added. A waitlist is dynamic and resets itself depending on who is added to the list. Ex: A Junior that is waitlisted on Wednesday has priority over a Sophomore that is waitlisted on Monday; however, a Senior that is waitlisted on Friday is prioritized over both of them. Within each separate class (Freshman, Sophomore, Junior, Senior), it is first-come, first served. Cross-listed courses are automatically prioritized using the above rules. The effect of this method of prioritization on advising is that a senior who cant immediately register (ex: registration hold) will receive a more appropriate prioritization once they are able to register. Freshman (who often experience frequent first-choice closed courses), should be advised to get onto the waitlists of their first choices ASAP and then build and register for an alternative registration schedule just in case their preferred schedule does not work out. Waitlisting – Introduction The following slides contain specific examples of how to utilize the waitlisting system, including screen shots and written instructions. Please reference these slides when inquiring into the proper procedures for utilizing waitlisting. K NIGHT L INE W AITLISTING O VERVIEW

1) Closed Course Error Received If a course you are trying to register for is closed but waitlist seats are still available, you will receive a registration error that says Closed - # Waitlisted, where # shows how many people are currently on the waitlist. You have the option of joining the waitlist, but are NOT automatically added to it. If all available seats in both the course AND the waitlist are filled, you will not have this option. K NIGHT L INE W AITLISTING O VERVIEW

2) Joining a Waitlist If you wish to be added to the waitlist, use the Action drop-down menu to select the Waitlisted option, then select Submit Changes K NIGHT L INE W AITLISTING O VERVIEW

3) Waitlist Confirmation Screen The status will change to Waitlisted on (Date). The credit hours will NOT be counted in the total number of courses you are registered for. You may be waitlisted for multiple courses, but can only be registered for a maximum of 18 credits during Fall & Spring semesters; J-term and Summer session limits also apply as appropriate. No registered hours K NIGHT L INE W AITLISTING O VERVIEW

4) Registering for Additional Courses You may register for additional courses while on a Waitlist, including other sections of the same course. If you are moved to the top of a waitlist but already have a total of 16+ credits registered, you must drop one of the registered courses BEFORE you can enroll in the waitlisted class. If you are in a different section of the same course and wish to switch to the waitlisted section, you must drop the registered section BEFORE you can enroll in the waitlisted one. Waitlisted for Section A Registered for Section C; you must drop Section C BEFORE you can enroll in Section A K NIGHT L INE W AITLISTING O VERVIEW

5) Checking Position on Waitlist Students can check their position in a Waitlist by viewing their Student Detail Schedule under Student Services. Position 1 means you are currently listed as highest priority. Waitlist positions are subject to change based upon various prioritization factors including student class standing (Seniors have highest priority) and faculty list adjustments. K NIGHT L INE W AITLISTING O VERVIEW

6) Waitlist Position Available Notification Once a position is available, the waitlist position for the student with highest priority changes to 0 and they receive an notification informing them that they have 48 hours to add the course to their schedule; if it is not added within 48 hours, they will be removed from the waitlist and the next student will be notified. An reminder may also be sent to the student during their open registration time if they do not immediately register, but it is the STUDENTs responsibility to monitor their and/or schedule for waitlist position changes. Notification Expires = date and time students opportunity to register will expire Receiving the notification does NOT mean you are automatically enrolled in the course – you MUST still add the course in Knightline! K NIGHT L INE W AITLISTING O VERVIEW

7) Registering for a Waitlisted Course Once you are notified that you may enroll in the course, go back to Add/Drop Classes. Use the Action drop-down menu to select Course Add, then select Submit Changes. If there are no other conflicts, the course will be added to your schedule K NIGHT L INE W AITLISTING O VERVIEW

Additional Waitlist Information If you do not add your waitlisted course to your schedule within the 48 hour timeframe, you will be removed from the list. If you still wish to enroll in the course, you must re-add yourself to the waitlist; you will be given the next available position, not necessarily first. If you no longer wish to be enrolled in a waitlisted course, please DROP the course on the Add/Drop screen as a courtesy to other students behind you in the waitlist. Waitlists are frozen as of the first day of classes. No additional students can be added to the waitlist during the Add/Drop period, but those already on the list may still be given the option to add the course as seats become available. All waitlists are removed at the end of the Add/Drop period. K NIGHT L INE W AITLISTING O VERVIEW
