How to run a successful meeting

Agenda Call to order President Pledge Member Icebreaker Officer Guest Speaker XXXXXXX Service Project description Member Project Recap Comm Chair Adjournment President Here is an example agenda of what a Key Club Agenda would look like Go through each item and give examples of how you run your meetings “For example, an icebreaker that always works is….”

Make it worth it for members No 10 minute meetings Make sure you cover every aspect before adjourning your meeting Make sure you have a purpose in EVERY meeting. You want to make sure each meeting is not too short. If you have meetings in afternoons, students may have there parents come pick them up. If your meeting is only 10 minutes, then theres no purpose for them to come to the meeting Also, make sure you cover every aspect you want to cover. Never have the member able to have the excuse “Well, you didn’t tell us that…” Having a purpose in every meeting assures that it runs smoothly and in an orderly fashion.

Organization Know your stuff Power point One person at a time Have materials beforehand Show the attendees you prepared Sound confident, like you’ve gone over this and have your facts straight Don’t interrupt each other Materials = agendas, sign in sheets, fliers, etc

Communication When are meetings? Set time of month Facebook Email Text Bulletin Board Shouting Members have to know when meetings are. Give full descriptions of each example that is listed above.

How to lead a meeting Rehearse Have notes Talk with adviser Confidence Speak slowly AVOID “Um”, “Like”, “So, Yeah” Talk with adviser so he/she won’t feel need to interrupt you Insert other word in place of these stagger words

How to have fun Icebreakers! Food and drinks Party Location Give other examples of ways that you have fun in your meetings

Service Projects PB&J Party Arts and Crafts Make posters Beautification Theres always a way to get members active in meetings. Complete a service project!

Guest Speakers Kiwanians Charity hosts Administration Lieutenant Governors District Officers Examples of Guest speakers to invite to your key club meetings

Other Ideas New Members Party Meeting Bring a friend to a meeting Off campus meeting By having meetings in other locations, your getting the club interacting with one another outside of the school environment.
