Who is Corporate Lodging Consultants : CLC Develops and manages custom lodging programs for businesses in North America 27+ year old company serving over 275+ clients The largest single-source private purchaser of hotel rooms in North America 12,000+ hotel properties in our network 7+ million rooms - 20,000 travelers/night

Using Sign-In Sheets at Hotel: Sign-In Sheets are used to check-in Insituform travelers who do not carry CLC cards. The supervisor or project manager is responsible for proper completion of the sign-in sheet at check-in and check-out. The supervisor or project manager is the only person who can sign authorizing the hotel to bill CLC, not individual crew travelers. The hotel will send the invoice and sign-in sheet directly to CLC for processing.

Manual and On-Line Sign-In Sheets: Manual: You will have paper copies of sign in sheets you can carry as you travel. They are filled out by the supervisor or project manager. On-Line: CLC has an on-line sign-in sheet process where you can complete your sign-in sheet with data on hotels and employees in the system. You must have made a reservation directly with the hotel before sending or arriving with a sign-in sheet.

Completing Manual Sign-In Sheets

Accessing your Hotel List On-Line: Available 24 x 7 – Most up-to-date information Log-On at www.corplodging.com Finding a hotel on your approved hotel list Finding Employee information for sign-in sheets

As a supervisor or project manager traveling with a crew in the field, you will log-on to the website here. You will have a special username and password to gain access to the site.

Enter search Criteria: Either City and State or you can search by Zip Code. Then enter how wide a radius you want to search (i.e. 15 miles). At a minimum, you must enter or choose a state from the drop down menu.

You will then receive a list of the hotels in that area that met your search criteria. Print out or write down the Hotel #, Name, address and phone number for the sign-in Sheet.

Hotel Availability – Reservation: Call the hotel you have chosen and inquire about room availability for the dates and number of rooms you will need. Announce yourself as a CLC customer from Insituform and make the reservation.

Use this list to locate employees and information needed for completing sign-in sheets

Completing the Sign-In Sheet: The sign-in sheet serves as your identification to be able to check into a CLC hotel. You can fill it out by hand or also use our on-line sign-in sheet tool (reviewed later).

Completing the Sign-In Sheet: Enter the hotel name and information (after locating in the online hotel directory)

Completing the Sign-In Sheet: Either prior to or at check-in to the hotel, enter Employee name, Employee number, job code, date in, and time in. Employee names are easy to locate in the online employee directory.

Completing the Sign-In Sheet: As the supervisor or director of the job, you will need to sign the form authorizing the hotel to charge the room nights directly to CLC only for those employees listed on this sheet

Completing the Sign-In Sheet: When checking out of the hotel, verify the date out and time out.

Manual Sign-In Sheets: If needed, ask for a copy of the sign-in sheet from the hotel when checking out. Make sure the information is correct when you sign the sheet authorizing the hotel to bill CLC.

Completing On-Line Sign-In Sheets

CLC On-Line Sign-In Sheet System: CLC has designed a system allowing you to go on-line and complete a sign-in sheet for your crew’s travel. You are able to search and choose a hotel from your approved list. You can also search for employee information you may need to complete the form. The system logs all the sign-in sheets you complete for reference later as needed.

Click on “Create” to begin the process

Enter the city and state (or just a zip code) and also the radius of the search around that location (5-50 miles) and hit “Search”

Choose the hotel you want to create a sign-in sheet for and click “Create”

If you don’t know the employee number, hit “Find” to search by name If you know the exact employee number, you can enter it here and the sheet will auto-populate the employee information If you don’t know the employee number, hit “Find” to search by name

Enter the employee last name or first name to search and a relevant list of choices will appear. Chose the employee you want to add to sign-in sheet.

Click “Add Guest”. Repeat process as needed Enter arrival date & time, departure date & time, Single or Double room, etc. Click “Add Guest”. Repeat process as needed Enter Project Code

Click “View” to generate Sign-in Sheet for printing

Print a copy for your files and for follow-up if needed.

Click “Send to Hotel” to fax from system to hotel.

Hit “Fax to Hotel” link to send

Click “Modify” to review list of sign-in sheets, modify as needed or check fax delivery status

Modify existing sign-in sheets, edit, view, delete, etc.
