TM 1 Aggregate Reporting of Pandemic Influenza Vaccine Doses Administered Update for Option 1 Users Joint Presentation by: Immunization Services Division National Center for Immunization and Respiratory Diseases and Division of Emergency Preparedness and Response National Center for Public Health Informatics Webinar Presentation to Public Health Project Areas October 10, 2007

TM 2 Agenda Background on Aggregate Reporting Refresher and Update on Pilot Test Checklist Items Demonstration of CRA Next Steps Available Resources

TM 3 Background The National Strategy for Pandemic Influenza: Implementation Plan calls for monitoring of the appropriate use of a scarce pandemic influenza vaccine To accomplish this, states/ project areas will track vaccine doses administered, collect and aggregate minimum data elements and transmit weekly to CDC CDCs CRA system was modified to provide three ways for states and partners to report vaccine doses administered

TM 4 Background: Options for Aggregate Reporting to CDC Option 1: For states and project areas collecting data via an existing immunization information system (IIS) or other application, technical specifications were developed for three different data exchange formats: flat file (pipe- delimited), XML file, HL 7 Option 2: For states and project areas collecting data manually, an aggregate reporting screen was added to CDCs CRA application to allow direct data entry via a web browser Option 3: For states and project areas using CDCs CRA application to collect patient level information, selected data elements will be automatically aggregated

TM 5 Pandemic Influenza Doses Administered Pilot Reporting Event (PIDAPRE) CDC and the project areas will test options during the influenza season Evaluate project area capabilities to aggregate and send a subset of data Evaluate CDC technical system capabilities to accept and report aggregate vaccine doses administered

TM 6 Why is the Pilot Test Necessary ? Operational Perspective To assess the ability to collect and report vaccine doses administered data and to provide perspective on federal, project area, and clinic needs in order to scale-up for a pandemic situation Technical Perspective To assess the technical ability of systems to receive, aggregate, and return data, to identify and address system gaps and to test tooling options and security aspects for federal and state partners

TM 7 Data Expected from the Project Area Will include (required) Age 6 – 23 months 2 – 18 years 19 – 49 years 50 – 64 years 65+ years Project Area ID Date of Clinic(s)

TM 8 Update on PIDAPRE CDC and the project areas will test options during the influenza season Pilot test November 1 st – December 31 st To date we have received option choices from 61 project areas

TM 9 Project Area Option Choices out of 62 project areas have submitted their reporting option choices. 1

TM 10 Option Choices of states/ project areas for the pilot test Option 2 Option 3 Option 1 LA county DC NY City Chicago Marshall Islands Guam Mariana Islands Virgin Islands Puerto Rico Palau FS Micronesia

TM 11 Check list for Option 1 3Identify the Public Health Administrator (PHA). 4Select the content format your system will use (Pipe Delimited, XML, HL7). Review the Aggregate Reporting Data Exchange Requirements DocumentAggregate Reporting Data Exchange Requirements Document 5Select the method your system will use to transfer information. CRA Application PHINMS 6Develop any necessary code to create the selected file format (See Step 4) and transport the file to CRA (See Step 5). The Aggregate Reporting Data Exchange Requirements Document is designed for use when creating the data file.Aggregate Reporting Data Exchange Requirements Document 7Send a test file for evaluation after development of code. Send to Sabrina Walton *Full checklist available at

TM 12 Option 1 Progress To Date Breakout of transport options 15 PHINMS Messaging (automatic) 7 CRA Application Upload (manual) 1 unconfirmed Breakout of file format options 15 XML 7 pipe delimited 0 HL7 1 unconfirmed Clinic Dates 12 Confirmed or have been received Project areas have started to send sample files

TM 13 Frequently Asked Questions Can a project area choose one reporting option initially and then switch to another reporting option in the future? Can a count of zero (0) be sent? Do you want all possible categories listed in the file or only those with a count greater than zero? The Data Exchange document shows 2 date formats, mm/dd/yyyy and yyyy-mm-dd; which one is valid? Is there an XML schema available?
