Water Supply Utilities Project Database (WaSUP) 2018 Introduce Deb Oblaczynski and Rick Nevulis We are your liaisons for the Water Supply Utilities Project Database, also known as WaSUP Southeast Florida Utility Council October 8, 2018 Deb Oblaczynski & Rick Nevulis

Statutory Requirements Annual Progress Report required pursuant to Section 373.709, F.S., due November 15 Utilities must provide an update on water supply projects The intent of the legislation is to include water suppliers in the regional water supply plan process. The legislation requires utilities to provide an Annual Progress Report. The report must include: water supply projects that have been developed or are intended to be developed, an estimate of the quantity of water to be produced by each project, and the status of project implementation. Completion of the requested information in the WaSUP database completes your requirement for an Annual Progress Report by Nov. 15 of each year.

Data Applications Utility data is used for: Regional water supply plans Service area maps Number & costs of planned water supply and water conservation projects The information provided gives us more accurate data for developing the Regional Water Supply Plans. The data includes: Updated Service Area Maps, Identification of new projects, and Status of on-going projects. Your information is important in the development of the Regional Water Supply Plans

The WaSUP Database WaSUP provides an easier method for you to report needed data On October 9th, 2018, an email will be sent to the Utility contacts opening the database for your use. The WaSUP Guidelines will be attached. They will include information about and links to the WaSUP database. We plan to open the database tomorrow on October 9th We will send a notification email with guidelines to your contacts. Every year you may have to reset the password. Due to the set-up of our system the District’s IT Division needs to reset passwords. If you cannot access the system: Email Rick or me, or give us a call. We will have IT reset the password then email you the new password. When we reset the password you will receive an email with a link. Click on the link to verify and you should be able to access WaSUP with the new password.

Using the System: New Users Create account with SFWMD You will receive account notification email with link to verify You are ready to go! A new user is a new individual user. Your utility will have information in the database. But each individual user needs to create an account with SFWMD specifically for WaSUP. You will need to create an account even if you have another District account, for example: epermitting, the other account will not give you access to WaSUP. Use the link in the guidelines to create a new account. Then follow the guidelines and links to access WaSUP. You are now ready to enter your information into WaSUP.

Utility Registration: New Users If this is your first time entering data in WaSUP, you will see a list of utilities on the Utility Registration Page. You will select your utility’s name from the list. Click the Register button. The program will take you to the home page. Reminder for all: Do not use the back feature on your browser. If you use the back browser you will kick yourself out of WaSUP. Every year I have to remind myself! Because I’ve kick myself out of the system too! While you are in the system, Next takes you to the next page; or click on Home to return to the homepage.

Data Entry/Review If you have entered data in previous years or after you selected the Home link (in previous slide), The program takes you to the Home page (shown here). The home screen lets you edit the data, view your annual progress report, and submit your report to the District. Under the history column you can view past year’s entries in report form. Just click on the drop down menu an choose the year to view the report, in most cases the reports go back to 2010. To begin entering data click on Edit. Once in Edit mode you will go through the webpages with the information for your utility prepopulated from the last Annual Progress Report. Except for one page. The page for the Uniform Residential Per Capita will be blank. We will get to that in a moment. Update the information on each page as needed. In the next slides I will discuss some specifics for entering data.

Service Area The service area shown on the Service Area Page for your utility will be from the last Annual Progress Report provided. If the map is current. You do not need to update here. Click on Next to go to the next page. If the service area map needs updating, click on the needs to be updated button. WaSUP will send an email notifying the District that the map needs to be updated. The District will contact you for the updated map information after the data base has closed for 2018. Once done, click on Next to go to the next screen.

Uniform Residential Per Capita This is the one page that will not include the information from the previous reports. WaSUP calculates Finished Water to Raw Water Ratio from the current information provided: You must use the unit Million Gallons per Day for Total Finished Water, Bulk Water, and Raw Water. Otherwise the calculations will be off. Once the information is entered, WaSUP will calculate Uniform Gross Per Capita (in gallons per day). Any of the boxes with numbers in Green will be calculated by WaSUP. Very important! When finished with this page click the save button on the bottom of the page before clicking Next. If you do not hit the Save button, the information you entered will not be saved and will need to be entered again. This is the only page that does not save when you click on next. Note: If asked if this information is required: Per the State Statute, this information is voluntary. This information is not used for permitting and does not affect the utilities permit in any way. The information is for Regional Water Supply planning only.

Water Supply Projects The Water Supply Projects page will contain the projects verified and/or added in the last report. To add a project – fill out the form under the project list table Use dollars for capital costs Use MGD for Project Design Capacity. Once the form is completed for a project, click the add project button to save the project to the list. The status of each project must be verified. To edit an existing project – click edit in the action field. To verify an existing project with or without editing – click Status Verified in the action field. If status of the projects is not verified, you will not be able to continue to next page Click on Next to go to the Conservation Projects screen.

Conservation Projects Conservation projects are entered the same way as water supply projects. Remember to verify the status of each project before submitting the Annual Progress Report. Once the report is complete it can be submitted to the District by selecting Submit, or you can go Home and view the report. Remember, there is an option to submit the report from the Home Page. Clicking on Submit from either page will send your annual report to the District, completing your annual reporting requirement for 2018. You can submit the report at any time. It is not locked down until November 15, 2018. You can update the information then submit again, as needed.
