Lesson 12: Epic End of Day Status Procedure

Epic End of Day Status Procedure In this lesson you will learn to: ─ Conduct End of Day processes ─ Reschedule Appointments ─ Utilize the End of Day button to update appointment status

Epic End of Day Status Procedure “End of Day” procedures will be required to validate that all appointment information is accurate. A thorough review of essential Epic reports should be conducted at the end of each day.

Epic End of Day Status Procedure From the Department Appointments Report: View all appointment statuses for accurate appointment outcomes. Registration statuses for all patients seen for appointments today should be verified. Member Coverage verification can also be viewed from the DAR. Sort Encounter Forms in number order and research any missing an encounter form number.

Epic End of Day Status Procedure From the Reschedule Appointments Report: Request this report for appointments that need to be rescheduled by entering the date range from the current date through six months from today For example: In the From field enter T. In the To Field enter M+6. Cancel and reschedule appointments as needed. Enter a message in the appointment if necessary regarding any attempt made to reach the patient.

Epic End of Day Status Procedure If the patient’s appointment has had a change in visit type, status or provider, an End of Day (EOD) change must be entered. This can be accomplished from: Patient History Staff Daily Schedule Department Appointments (DAR)

Epic End of Day Status Procedure Current Appointment Information Information about the patient and appointment that you selected is displayed at the top of the window. You can scroll down to read additional information if applicable.

EOD Status List Fields Status Enter the status the appointment should be changed to when End of Day Processing runs. Choose from a list of statuses. Patients that leave without being seen after Check In can be corrected by editing the Status field to reflect this occurrence. The entire appointment slot will appear in red when this information has been edited. If your visit needs to interface to other systems you can’t change from scheduled to check in from this tool. You must check the appointment in. Cancel Only available if Status is “Canceled” If you changed the status to Canceled, enter a reason for the cancellation. In most cases you should be using the Cancel Appointment process rather than EOD.

EOD Status List Fields Visit Type You can use this field to enter a different visit type. Current Provider /Resource If you changed the status to Canceled, enter a reason for the cancellation. Choose from a list of reasons. Change to Provider/Resource You can use this field to enter a different provider in the same department. If you need to enter a provider from a different department, you must first switch departments using the Current Department button in the upper right corner of the window.

EOD Status List Fields Cancel Click Cancel to exit the window without making any changes to the End of Day Status List. Accept Click Accept to retain the changes you made to the End of Day Status List and return to the report window you were on.
