SST Career Track December 3, 2012

What is it? A way to advance your career at Ottawa University by: Demonstrating mastery of “core competencies” Performing your job in an outstanding manner Being viewed as an esteemed colleague

Why? Encourage Personal & Professional Growth Provide Clear Objectives, Metrics, and Feedback to SST Members Reduce Turnover

Who? Each position within the SST will have a career track for personal and professional development. Enrollment CAPS Finance

When? In alignment with Performance Management System Progress evaluated on a semi-annual basis Must have been in current position for a minimum of one year before becoming eligible for promotion

The “Professional Development Track” How does it work? The “Professional Development Track” Executive Advisor Senior Advisor Advisor

Key Components Advisor Competencies Grid Observation Peer Reviews Most recent Annual Performance Review Education level The advisor competencies grid is drawn from the employee competencies grid already in use by HR, except we have taken each baseline competency (action oriented, Functional/Technical Skill, Peer Relationships, etc.) and translated those characteristics into behaviors geared specifically toward that specific functional area. For example, the EA competencies grid lists effective use of Target X as a functional technical skill, whereas the CAPS competencies grid lists effectively using the SIC/Cognos as part of this area. There is some overlap, but this evaluation is more specific to each advisor’s job. The observation component, again, is different based on the advisor type. Enrollment would be evaluated on PCAS observation, CAPS on a Graduation Planning Session, etc. Observations are completed by a subject matter expert (i.e. Director of Enrollment, Director of Academic Advising, Director of Financial Aid) and metrics are based on accuracy of information provided, asking the right questions, confidence (tone), communication skills, etc. Peer Reviews will be completed anonymously by colleagues, evaluating things like professionalism, willingness to help others, having a “team player” attitude, etc. Annual Performance Reviews are factored in (minimum of 3 to more to senior, 3.5 to move to executive). As an institution of higher learning, Education is obviously an important value. Therefore, EA’s and Finance must be working towards or have a Master’s degree to move to a Senior position or higher. All CAPS advisors are expected to have a Master’s degree already (somewhat recent decision to require this).
