Professional Development Best Practices – What You Know for Sure - Ice Breaker Activity S Individually jot down 1-3 Best Practices you’re aware of Going around the table, ask each person to share one until all are gathered Make a top 5 list Report out

Agenda L Committee Structures Needs Assessment Surveys Evaluations (Workshop & Program) Budgeting Hiring Speakers/Presenters Vision Resource Center Developing a Professional Development Program Plan Annual Report to the Chancellor’s Office What is FLEX/Tracking FLEX Hours What Counts as FLEX? Marketing Your Professional Development Program Working Collegially with All Employee Groups Q&A

Committee Structures L One general committee? One committee for each constituent group?

Committee Structure at College of the Canyons L

Needs Assessment Surveys C + L Use samples from other colleges to help you get started Consider conducting focus groups to obtain training needs for your college Design instrument to capture both common and different employee group needs Include items on preferred delivery method and timeframe Do annually Use as foundation and refer to in plans/activities Samples provided What happens when you don’t do needs assessments? Chancellor’s Office requires annual needs assessments.

Evaluations L + C Workshop evaluations Include items on application of knowledge/skills learned and connection to better serving students and/or campus If activity funded by grant or special funds, construct items that provide needed reporting data Annual Program Review Annual Faculty and Staff Survey Samples What happens when you don’t evaluate your Professional Development activities?

Budgeting L + C Research which “pots” are available” and who “controls” them: General Fund Student Equity, SSSP, Basic Skills, Diversity, Guided Pathways Grants (i.e. Title V) Note: Funding formula is changing due to implementation of Guided Pathways (student completion rates) Utilize Needs Assessment and Committees to determine line items such as: Campus Wide Initiatives (i.e. Retreats, Leadership Academy, Technology Training, Cultural Diversity, etc) Memberships Support for travel and other projects identified by individuals, constituency groups or divisions Presenters/Facilitators Hospitality Supplies Sample Budget Who controls the “pots” of funding?

Hiring Speakers/Presenters L Negotiate! Collaborate with a neighboring college to share costs and encourage interaction among employees Integration of speakers with follow-up dialogue Utilize the new Vision Resource Center

Use Faculty and Staff Expertise! S Benefits and challenges with “outsiders” Create community Build leaders Tap into the pool of on-campus faculty and staff to present workshops Engage long-time employees to present workshops and/or mentor new employees Sharon – Example: Faculty Academy

The Vision Resource Center L https://visionresourcecenter.cccco.edu/ A library of self-paced video-based trainings – include FREE access to Lynda.com, Skillsoft, and inLearning Professional Development Coordinators Community There will soon be a page on the PLN dedicated to Prof Dev Coordinators. TAKE BREAK NOW

10 Minute Break

Ice Breaker Activity S Experience this fun ice breaker and use it at your college! Sharon – can you do this second ice breaker as well? Questions: Move in the room based on the size of your college (small, medium, large) Is your PD program gold medal, silver medal, bronze medal, or off the podium? Which employee group at your campus most embraces and supports professional development?

Developing a Program for All Employee Groups S, L, C Use Needs Assessment survey results & strive for balance of activities that Address specific employee group needs Support common training (i.e. technology, leadership/management, communication, emergency preparedness, cultural diversity, etc. Provide opportunities that intentionally bring together all constituencies (i.e. Retreats, Leadership Academy, Collegial gatherings, Community Service…) Being responsive to our campus needs and directives from the Chancellor’s Office Use the Professional Development Plan template There are almost no separate marketing materials. Good idea to use the template even though funding was not approved by the governor.

AB 2558 L Legislation signed by Governor Brown in 2014 Establishes the Community College Professional Development Program, to be administered by the board of governors, the purpose of which is to provide state general funds to community colleges for supporting locally developed and implemented faculty and staff development programs. Any funding appropriated for purposes of this article shall be allocated to the community college districts that provide professional development opportunities to both faculty and staff. Ad Hoc California Community College Professional Development Advisory Committee (Dr. LeBaron Woodyard) Make sure you have a PD Program/Plan in place if/when funding becomes available.

What is FLEX? L 1981 Legislation (AB 1149) allowed colleges option of adopting Flexible Calendar Program. Colleges can choose to reduce 175 day instructional calendar from 1-15 days The average is 5 days Purpose: To provide time for faculty to participate in developmental activities related to staff, student and instructional improvement.

Campuses develop process to determine which activities will count under each category such as -On Campus FLEX “Days” & Workshops -Pre-approval by Dean and/or Committee -Development of “Pre-Approved” activities list - Rio Hondo College and College of the Canyons At College of the Canyons, the Faculty Professional Development Committee reviews FLEX applications and Independent Project proposals monthly and votes on whether to approve them or not.

FLEX Reporting L Campuses must track & maintain records for at least 3 years to include: Proof all full time & part time instructional faculty completed required FLEX obligation for year or had pay “adjusted” accordingly Proof of completion of Individual FLEX Plans annually for all FT & PT faculty Documentation of completed FLEX activities for all FT & PT faculty Annual Flexible Calendar Program Certification that details all proposed FLEX activities by their appropriate Chancellors office category due to Chancellor’s Office by June 1st Online FLEX Reporting systems – Cornerstone, Frontline Education, home-grown systems, etc.
