School and Satellite School Setup We’ll review the setting for Schools and Satellite Schools (which you may or may not have) to see how they affect your Point of Service and Claiming processes.

Navigate to Admin>Schools, then Click to open the School home page. Wrap up the topic *User Groups have identical rights that are all ON by default *Rights can be edited for each User Group *New User Groups can be created as needed

School Home Page Use the left panel to search for and navigate to individual schools. Enter the Name or School Id to search. Or, browse by clicking the blue arrow next to each school Type. School Calendar Keep each school’s calendar up-to-date for accuracy in Reporting and Rollover. School Starts and School Ends are set during Rollover but can be adjusted per school afterwards. The calendar defaults to every weekday being a School Day (boo!). Click on Holiday then click the appropriate date to take the day off. The date will turn Green. Wrap up the topic *User Groups have identical rights that are all ON by default *Rights can be edited for each User Group *New User Groups can be created as needed Once you’ve updated for one school you can copy to any or all schools. Best practice is to configure Holidays common to all schools, then copy to all schools. Next, tweak individual schools as needed.

School Details don’t change often but are important when they do. Every school will have a Parent School, usually Central. If it’s not Central, this school is a Satellite. We’ll discuss these later in the lesson. School Types are used to group like schools. Elementary, Middle, High are typical. They can be customized in Admin>Definitions>Setup>Global>School Types. If using Menu Planner, select your Grade Group. This will be School for most schools. We’ll discuss Satellites later in this lesson. School Details District will be checked if this is your Central Office. Uncheck Active School if the school closes. CEP School tells Solana to feed ALL students at this school for Free. Wrap up the topic *User Groups have identical rights that are all ON by default *Rights can be edited for each User Group *New User Groups can be created as needed Severe Need tells Solana to serve all Breakfasts at this school at no charge. If the students for this school are not in the SIS import and you add them manually check this option to keep them active. If you have Grade levels assigned to this school eating at another school, indicate the Grade and feeding school here. The enrollment count is added to the feeding site to keep your Edit Checks accurate.

Most districts use a common PIN setting for all schools. PIN Settings Most districts use a common PIN setting for all schools. On import, the PINs are assigned based on the settings indicated for the Central school. If any PINs start w/ leading 0’s, check this option. This way, the PIN Pad will know what length to look for at each school.

POS options This School feeds a Satellite School that Claims separately. More on that later. Check here to allow terminal refunds. Cashiers must be given permission. List the computer name of each terminal here. This allows them to communicate to your web school. Check the Serving Periods used and input when they Begin and End so the Terminals will automatically open for the right one at the right time. Wrap up the topic *User Groups have identical rights that are all ON by default *Rights can be edited for each User Group *New User Groups can be created as needed If this School serves another School AND includes that school’s Enrollment with it’s own for reporting and claiming purposes, add it here. If Serving Times change daily, uncheck the option and input the times. If the served School reports Enrollment separately, do NOT add it. It’s a Satellite school, discussed late in this lesson.

For each School, Remember! Be sure each school has all applicable Meal Pricing and Grades assigned to ensure your Reimbursable Meals are selling for the right prices. School Groups Creating School Groups may be helpful for quickly pulling Reports and assigning Meal Pricing. Browse to Admin>School Groups, and click. Choose More Details to edit or + to create.

All Satellite Schools: Are served by another school (they do not have their own Terminals). They report their student’s eligibilities under their own name. There are 2 types of Satellite Schools: Schools that claim the meals served to their students, even though they eat at another school. Schools that do NOT claim the meals. They are claimed by the serving school. Let’s see how these are set up in Solana. Setup common to ALL Satellite Schools. Satellite Schools will NOT have a Terminal. You won’t set up Serving Periods for them. Wrap up the topic *User Groups have identical rights that are all ON by default *Rights can be edited for each User Group *New User Groups can be created as needed On the Parent School, they WILL NOT be listed under Serving Schools.

Setup common to ALL Satellite Schools. Like ALL Schools, you must assign Meal Pricing to the school for all Categories and Grades. Wrap up the topic *User Groups have identical rights that are all ON by default *Rights can be edited for each User Group *New User Groups can be created as needed

On both the Parent (Serving) School Set Up for Schools that claim the meals served to their students, even though they eat at another school. On the school Details tab, select the Serving School as the Parent School. Select Satellite as Management Level. Configure the school’s individual settings. Wrap up the topic *User Groups have identical rights that are all ON by default *Rights can be edited for each User Group *New User Groups can be created as needed On both the Parent (Serving) School check Claim Child Schools Separately.

Set Up for Schools that do NOT claim the meals served to their students. They are claimed by the serving school. This School, like the all Satellite Schools, will report Eligibilities under it’s own name. On the school Details tab, Select the Serving School as the parent School. Select Satellite as Management Level. Configure the school’s individual settings. Wrap up the topic *User Groups have identical rights that are all ON by default *Rights can be edited for each User Group *New User Groups can be created as needed That’s it!

Satellite School Reporting Satellite School data is grouped with the Parent School and only on the Basic Claim and Edit Check reports. On the Basic Claims report: Select Summary By School or Detailed By School. Choose the Parent School. Both the Satellite School and the Parent School will display independently. Satellite School Reporting On the Edit Check report, select the Parent School to display it and it’s satellite. Wrap up the topic *User Groups have identical rights that are all ON by default *Rights can be edited for each User Group *New User Groups can be created as needed Because the Satellite School has no Till, all financial data is reported with the Parent School.
