We recommend opening with thanking them for coming, and centering this around just how close to departure you are! This will help them get excited and stay engaged. Lastly, we suggest asking them to hold all questions until the end, as you will most likely cover their concerns, and if they have more specific inquiries they can stay behind to discuss with you one-on-one.

London, Paris, Florence and Rome Monday, April 15, 2019 While your group most likely knows your date of travel already, this is helpful to confirm the full dates of your travel experience, and so they can mark this down on their calendars. If you have adult travelers, this helps to ensure they’ve requested time off at work. The tour map above highlights where you will be overnighting and all cities visited on tour. Let’s take a look! This is a great opportunity to show everyone your tour itinerary online, and provide them with a visual experience prior to travel! Take a quick peek at the itinerary all together, and perhaps choose a few experiences that are important to you to highlight within the day-by-day itinerary. While here, you can take the opportunity to ensure everyone is up to speed with your included excursions, emergency contacts, and how to examine their balance following the meeting. HERE

This slide outlines your confirmed flight itinerary, and offers you the chance to share with the group your preferred meet-up location, whether that may be your school, or somewhere predetermined at the departure airport. Travelers can jot down notes, and you can ensure they know all necessary information prior to the day of departure.

**Arrive 3 hours prior to Departure Time.** BAGGAGE ALLOWANCE Confirm baggage allowance with each airline before departure. You’re responsible for any associated fees. SEAT ASSIGNMENT Seats will be assigned at check-in. IN-FLIGHT MEAL REQUESTS Contact the airlines at least 72 hours prior to departure. *Please make sure you notify them of any allergies We’ve covered your exact flight details, and now we’d like to offer a few general flight reminders. We recommend traveling with a carry-on but if your needs differ, we encourage your travelers to research airline guidelines prior to arrival at the airport (for example, baggage fees to Costa Rica are approx. $25 each way). When your group gets checked in, the airline will assign them seats. Should any traveler in your group have allergies or preferred dietary requests, they can liaise directly with the airline over the phone before you head out on tour!

This slide helps you share with families the important role of the Tour Director while you are on tour, including their responsibilities in regards to safety and logistics.

Breakfast is included and typically includes cereal, bread, juice, coffee and tea. Lunch is on your own Dinners are included and will be a mix of local cuisine and familiar dishes served as a preset meal for our group, rather than chosen from a menu Food portions are smaller than in the U.S. Water is included with all meals (and purified where it is deemed necessary) Please inform us of any allergies.

Generally, hotel rooms are smaller than in the U.S. Most hotels will not have air conditioning or elevators. Wi-Fi will not always be available, and when it is there may be a fee. Late check-ins may be necessary We want to focus on sharing expectations with your group on this slide: travelers should understand how amenities and style may be different than what they have experienced in North American hotels.

Travelers will room in cabins of 3-4 on night ferries; all cabins have private bathrooms. Travelers on overnight trains will be divided among couchettes shared by up to six people, some who may not be traveling with EF. All passengers will share a common bathroom in the train corridor.

ATMs are the best way to get money Don’t bring traveler’s checks Notify your bank or credit card company that you’ll be abroad Be prepared with $50 - 60 per day for spending money All travelers have different spending habits, but we do recommend traveling with the above amounts and ensuring they have updated their bank accounts – these are our pro tips when it comes to finances on the ground!

Passports Valid passports are required for all travelers. Name and gender listed on your EF account must exactly match passport information. Passports must be valid for 6 months after tour. Non-U.S. citizens may require special visas or other travel documents. Carry a color copy of your passport with you and also leave a copy at home. All travelers are responsible for securing their own exit and entry requirements and any additional documentation

Additionally, it shows the scope of our network, and all locations where we have a school or office with EF staff present. We want all of your travelers to feel confident when traveling that they are safe and taken care of across the world. What to bring Pack light: We are responsible for loading our own luggage to and from bus and hotels You are responsible for any luggage handling fees Carry any valuable or medication in your EF backpack or carry-on.
