Proposal submission process Involve the grant office as soon as you know you would like to submit a grant as PI Also, when asked to participate in the following: UF Co-Investigator or other role Outside Institution (sub-contract) MTA’s Industry contracts

Pathology departmental policy 5% minimum effort policy, unless justified (i.e. smaller grants, low time commitment for work, etc.) The goal is to cover your research assignment

Proposal submission process – Not pi Frequently requested items: Biosketch Other Support (including just-in-time requests and progress reports) Financial Conflict of Interest forms (FCOI) Letters of Support (Institutional Support, Departmental Support, and Consultant) The EP grants office will provide any of these documents needed, review, and obtain necessary approvals for the submission.

Proposal submission process – Principal investigator (PI) Understanding sponsor solicitations Required documents Formatting requirements Sponsor submission deadlines Developing a proposal in accordance with sponsor guidelines Contact grant office with details about the grant (sponsor, deadline, required documents, submission process, etc.)

Proposal submission process – Principal investigator (PI) Research the sponsor and the review process Always write for reviewer Demonstrate support Committee, collaborators, agency officials who will write letters Read directions and follow them Understand that a proposal is an instrument of persuasion

Proposal submission process – Principal investigator (PI) Generating Budgets Make sure budget coincides with narrative Make sure costs are allowable-salaries, animal costs, travel, core fee for services, supplies, consumable, reagents, technical computer software, equipment, etc. Be realistic Estimating too high or too low = not funded Estimate costs as accurately as possible

Proposal submission process – Principal investigator (PI) Cost-sharing Sometimes required by sponsor Can be cash or in-kind Be careful: don’t cost-share items you can’t document Check both sponsor’s and your own organization’s guidelines Facilities & Administrative Costs (Overhaed/Indirect costs) What is your current rate? Do other rates apply? Check sponsor’s allowed overhead rate, if any

Proposal submission process – Principal investigator (PI)

Proposal submission process – Principal investigator (PI) Common Errors Format and not following instructions (font, margins, pages, appended material, etc.) Writing unclear – jargon, inaccessible, unorganized Not allowing enough lead time for internal review Careless criticism of other scholars in field

Proposal submission process – principal investigator (PI) Prepare required documents (grant office can assist with budget preparation) Send all grant information to grant office by deadline Grants Office – 3 Days before published deadline DSP – 9 a.m. the day before published deadline Grant office prepares UFIRST proposal and submits to DSP

ufirst
