New employee induction for new staff and managers  

Purpose Edinburgh Napier University is committed to providing a quality induction experience for ALL new staff. Completing the University induction is a key responsibility of all staff and managers. This ensures all staff are aware of important regulation and legislation that keep our staff (and students) safe and informed on key activities important to their role within the University. Our commitment to the induction process has been revised and refreshed to ensure all new staff joining the University feel welcomed, supported and clearly understand what they need to complete in their first few months. There is also a ‘managers induction’ which is relevant to any new starts or internal promotions into a line management role As a manager, this pack will also ensure you know exactly how to support your new staff members in the first few months.

There is induction guidance on our staff intranet pages All new employees are required to complete an induction. Our intranet pages contain all the information employees and managers need to know about the induction process. A welcome email sent on day 1 to new staff members and their managers provide links to these pages.

Keeping accurate records 1. Once signed into HR connect self service, staff will see and be able to update their induction plan under the career and development section 1 2. As each part of the Induction is completed, staff members must update induction records in HR Connect within the development plan 2 3 3. To keep staff on track with their induction, new staff members will receive messages via the news carousel on HR connect reminding them of their induction activities at appropriate times.

Automated email reminders and our employee Induction event 4. Reminder emails will be automatically issued to staff through HR connect if they don’t complete their induction on time 5. Our face to face ‘Induction: Working at Edinburgh Napier’ event is part of the University induction and provides an overview of our core University strategy and values. This also gives an opportunity for new staff to meet our senior leaders and other key colleagues from support departments that may help their new role. All new staff will be automatically enrolled onto this event and an email confirmation sent to the new start and their manager 4

Our all staff induction process summary Day 1 Welcome Email Each new employee receives a welcome email with Induction information Line managers will also receives a welcome email with Induction information on what to do when they have a new staff member starting Week 1 Local Induction A Local Induction takes place in the first 12 weeks of a new role.  Guidance on what should be included in a local induction is available through our Induction Intranet pages including a simple checklist to ensure everything is covered and new staff receive consistent Inductions across the University   Month 1 University induction A University Induction takes place in tandem with your local Induction over the first 12 weeks. Staff members must ensure these activities are updated accurately with completion dates in HR Connect Self-Service.

The new manager induction process If a new or existing staff member has line manager responsibilities in their role. They will also be required to complete the ‘new manager induction’. Line managing or leading people is an important role within the University and a new line manager needs to be clear on the additional responsibilities associated. Our Intranet pages contain all the information employees and managers need to know about the line manager induction process. There is also a new manager induction checklist to help ensure that everything is completed.

New manager induction comprises of; Managing staff includes being able to communicate, motivate and manage performance. The line manager induction ensures that new managers know what policies and processes they need to follow to ensure their team is engaged, effective and efficient. The induction includes : A refresh of policies and procedures associated with managing people My Contribution training to give managers a clear understanding of the Universities performance and development process e.g. how to set objectives at the start of the year and support their staff to achieve them throughout the year Leadership behaviours, the University expects all managers to lead by example on our leadership behaviours, there are a number of workshops that can be attended that will support any personal development requirements in these areas Development courses – new managers can choose from a range of development courses from the Effective Management skills to Successful leadership suite of workshops

Managing completion - automated email completion reminders Reminder emails will be automatically issued to new managers and their line manager through HR connect if they don’t complete their induction activities on time

Essential Development New manager induction summary process Welcome Email Welcome email received from Learning & development, outlining where to obtain guidance for new manager induction activities and further development Manager Induction All new manager must ensure they are aware of their line manager responsibilities. Guidance can be found via the online manager induction Intranet pages Essential Development There is a list of essential development each new line manager is required to complete. This development will give you the essential tools and behaviours to become an effective manager   Induction checklist Completion of all induction activities MUST be completed within your 3 three months in role. It is your responsibility to ensure your checklist is marked complete and sent to learning & development within this timescale Manager Development There is a wide range of management and leadership development available for managers. Consider all personal development requirements and proactively seek out the relevant development opportunities.
