Web Hosted CS Competency is web hosted, which means you can: Access it through your web browser(such as Internet Explorer or Mozilla), and from Any computer with an internet connection using your Username & Password. Internet Username Password 3
Access Permissions Permissions can be created to meet a range of needs. A typical set of Permissions would be: User Level View Records Add / Edit Records Delete Records Add Employees/ Subcontractors Manage Capabilities Change System Settings Team Leader ✓ Local Admin System Admin System Administrators create and manage the Permissions. When you log in, you will only see the menus and buttons that relate to your Permission level. 4
Key Terms Person = Employee or Subcontractor Capability = License, certificate, induction etc. Record = Capability held by a Person Need = Capability required by a Person Role = A group of Capabilities Each Person can be allocated Roles. A Need is created for each Capability listed with the Role, unless the Person already has a corresponding Record. 5
Key Tasks How to do some Key Tasks using CS Competency 6
Adding Employees Employees are added via CS Human Resources. Follow these steps to Add an Employee: 1) From within CS Competency, click “Switch Application” and select “CS Human Resources”. 2) CS Human Resources will display a list of Employees when it opens. To add a new Employee, Click “Add New”. 7
Adding Employees Employees are added via CS Human Resources. Follow these steps to Add an Employee: 3) Enter the information listed in the “Employee Details’ box. First Name & Last Name are mandatory. 4) Click “Save” when you have finished. 5) Once entered, details can be edited by selecting the Employee from the list page and clicking the “Edit” icon. 8
Adding Subcontractors Follow these steps to Add a Subcontractor: 1) Click the “Roles” tab and then “Subcontractors”. 2) On the Subcontractors page, click “Add New”. 3) Enter the Subcontractor details. Firstname and Lastname are mandatory. 4) Click “Save” when you have finished. 9
Creating Capabilities Capabilities are the training, courses & skills against which Records are created. Capabilities are Managed from within the “Capabilities” tab, under the “Capabilities” menu item. Administrators usually manage the Capabilities, including adding new Capabilities when required. 10
Adding Records Follow these steps to add a Record: 1) Click the “Capabilities” tab and then click “Records”. 2) On the Records page, click “Add New”. 3) Enter the details of the Record. Person and Capability are mandatory. 4) Click “Save” when you have finished. 11
Adding Records Note that both the Person and Capability lists include a filter. Enter some search text into the window as shown below, and the list is automatically filtered to show the matches. 12
The People Menu The People menu is the easiest place to view the current Records and Needs for a person. Click the “Capabilities” tab, and the People menu is automatically displayed. There is a menu listing Employees and Subcontractors (a separate list for each). Use the menu to move from one list to the other. To view the Records or Needs for a Person, click the appropriate button, and a list will be displayed. 13
Filters & Excel All ‘List’ style pages include a built in Filter. Click the “Show Filters” icon to open the filters from any List style page. As well as an export to Excel feature. Click the “Excel” button to print an excel of the current list. 14
Training Matrix A Training Matrix is also provided. It is: Colour Coded, and Can be scoped to show a Project or Division. Colour Coding: 15
Online Help A Help menu provides access to a User Guide which can be viewed Online, or Downloaded and printed. Click “Help” to access the User Guide. 16
