Role of Regional Representatives Will serve as the Board liaison to Unit leaders (Chair, Co-chair, Steering Committee). When a position becomes vacant, will help identify potential Unit leaders. Will attend Unit event(s) organized by a new Unit leader (when possible) and help leaders develop a Steering Committee for their Unit (if needed). Will help “roll out” new ideas/programs in their regions/Units (e.g. promoting Prospective SW program, share information re: Conference and CE programs, etc.). Regional Map Northwest Region include the units of Sussex/Warren, Hunterdon/Somerset & Morris. Northeast Region include the units of Bergen/Passaic, Essex, Hudson & Union. Central Region include the units of Monmouth/Ocean, Mercer/Burlington & Middlesex. Southern Region include units of Camden/Gloucester/Salem & Atlantic/Cape May/Cumberland. Unit Leaders are one of the many volunteer leadership roles within NASW-NJ that helps augment the work of paid staff, allowing NASW-NJ to provide regional events and programming for social workers across New Jersey. Unit Events: The Basics Types of Events Networking, social, educational, continuing education, social work month event, advocacy, public service, or volunteer Location to Host & Time Assisted living facilities, libraries, non-profit organizations, Chapter office, restaurants Events run 2 hours, weekday evenings Choose a Topic & Invite a Speaker Unit member, Chapter staff, social work or other professionals Involve Your Members Ask for ideas Invite them to join Steering Committee Encourage them to bring a friend (non-members can attend one event before they are asked to join.) Unit Event: Announce Your Event Schedule & Promote Your event to NASW Members (in this order please): Fill out the Meeting Announcement online form (available in Unit Manual) at least 30 days prior to the event Staff will post event on NASW Calendar Send an email to your Unit Members to announce event; include the Calendar Link and ask members to register online; ALSO be sure to include “NASW-NJ” in the subject line. Chapter will promote event in newSWire™ Send out 2 reminder emails to your Unit members: one two weeks before the event and another a few days before event Promotion should not imply endorsement of a specific person, product, or service by NASW or NASW-NJ. **IMPORTANT – We recommend that you send email from the email address NASW-NJ has on file, otherwise your email will not be transmitted. Specifically welcome new Members/students/new attendees. Invite sharing from all: where do you work? What is your NASW involvement?) Welcome Regional Rep and/or NASW-NJ Staff (if present) Share NASW/NASW-NJ News & Upcoming Events with attendees from newSWire™ (if no Regional Rep or Staff) Purchase simple refreshments (maximum $7.50 per person) based on headcount Sign-in sheet (available in Unit Manual) Talk with new members, students, 1st time attendees at the end of the event. Communication with Members Unit Leaders are responsible for: Sending a monthly welcome email to new NASW-NJ members Membership Coordinator sends an email to all Unit Leaders around the 5th of each month with a list of new members and instructions for emailing Promoting unit events via email Be sure to email unit members to announce upcoming events and to remind/encourage them to register at least 3 times before event Tools for emailing: Group Email through Chapter Website (see next slide for instructions) One way communication with members. You can email them but members can only reply to sender. Chapter staff can use this too! Tips for emailing: Email should be easy to read and informational Less is more! Use bullets for easy reading Be sure to include “NASW-NJ” in the subject line of your emails If you are asked to send out an advertisement, please have the individual who asked contact Willis Williams, Administrative Assistant wwilliams.naswnj@socialworkers.org for information about advertising. Please follow the instructions below: After you log in you will be at your profile page Under “My Profile” select “Groups” Select Your Unit’s name At the “Unit Name” page select “Options” icon (looks like a tool wrench) At the drop down window select “Email All Group Members” Compose email Preview your email Send or Submit your email RSVP Public Results link will be sent to Unit leader to view member RSVPs. Continuing Education Events Units can offer CEU events as a way to encourage attendance and recruitment Two CEU workshops exclusive for the Unit each year Submit a request HERE, at least 60 days in advance, to discuss topics and schedule program Identify and reserve free location (minimum of 30 seats). Recruitment & Retention Member Requests Forward all member requests to Membership Coordinator to resolve. For example: Change of email Change of address Add to/Remove from listserv Advertising requests Other requests New Members You will receive reports (of your new members) once a month from Membership Coordinator Call and/or send an email to new unit members once a month. Introduce yourself, welcome members, and invite them to your next event ASK UNIT LEADERS TO ASK THEIR (NEW) UNIT MEMBERS IF THEY RECEIVED “WELCOME” LETTER FROM THE CHAPTER VIA EMAIL OR HARD COPY?? CEU Incentive for Unit Leaders Unit Leadership Training = 1 CEU Voucher 4 Unit events = 1 CEU Voucher You may receive a maximum of 5 CEU Vouchers during any given fiscal year CEU Vouchers are not redeemable for the Annual Conference or special CEU events. CEU Vouchers may not be transferred to other members. 1 (Fall) Training = 1 CE Voucher 1 (Spring) Training = 1 CE Voucher 4 Unit Events (Sept-Dec) = 1 CE Voucher 4 Unit Events (Jan-Apr) = 1 CE Voucher 4 Unit Events (May-Aug)= 1 CE Voucher TOTAL (Maximum) = 5 CE Vouchers per year In an effort to show our appreciation for all of the work that you do as Volunteer Staff all Unit Leaders who attend this training will receive a voucher redeemable for use towards 1CEU. We will have 2 training sessions per year for which you will receive a voucher for use towards one CEU. An additional CEU Voucher will be given to each Unit leader who hosts 4 Unit events of any kind during the fiscal year. Unit leaders may receive up to 5 CEU Vouchers in a given fiscal year culminating from 2 trainings and 12 Unit events. These vouchers will be redeemable at NASW-NJ CEU events that may be held throughout the year, they may not be used for the Annual Conference or NASW-NJ events designated as “special” events.
