Setting up a project file Chapter 5

Now that you’ve created the WBS and estimated the duration of each task, let’s lay out the project schedule!

Other than the project start date or the project end date, should you be entering any other dates (i.e. dates on tasks)?

Web research / Video What do we mean by “sequencing activities”? What are “dependencies” between activities? What types of dependencies are listed in your book/video? Which are the most frequently used? Determining the sequence in which the activities need to occur Dependencies are the relationships of the preceding tasks to the succeeding tasks. Tasks may have multiple preceding tasks and multiple succeeding tasks.

Can you give an example of tasks with the following types of dependencies? Finish-to-start (FS) Start-to-start (SS) Finish-to-finish (FF) Start-to-finish (SF) You have to finish the testing phase before you start the pilot When the vendor starts specifying equipment for the conference center, they also start specifying equipment for hotel rooms When the IT team finishes connecting equipment to the network, they also finish their testing of the connections The start of the race triggers the end of the pre- race music

Web research / Video The critical path is the sequence of tasks in your schedule with the longest duration. Why is the critical path so critical? Because any delay on that path delays the finish date of the project. Just as significant, you can shorten the project schedule if you can figure out how to shorten the critical path. What is the “critical path”? Does the critical path ever change? What are 3 techniques to shorten the schedule? Fast tracking, crashing & cutting scope!

What is a “buffer”? What is “Murphy’s Law”? What is “Parkinson’s Law”? Web research What is a “buffer”? What is “Murphy’s Law”? What is “Parkinson’s Law”? A buffer is additional time to complete a task Murphy’s Law states that if something can go wrong, it will! Parkinson’s Law states that work expands to fill the time allotted for its completion (time allowed).

What is “critical chain scheduling”? Web research / Video What is “critical chain scheduling”? It is not the same as critical path! The Critical Chain Scheduling has a resource focus, whereas Critical Path is task focused Critical path and critical chain are both methods of project scheduling Critical chain is completed after determining critical path by entering resource availability and the resulting schedule produces a resource-constrained critical path, which is usually altered from the original. The critical chain method is a technique that modifies the project schedule to account for limited resources by adding time buffers to give the project some breathing room. Steps to follow : Remove all buffers from individual tasks Add a single project buffer at the very end Selectively add feeding buffers to tasks on the critical path

What are calendars used for in MS Project?

Depending on the roles, some will receive details, others high level summary status When do they need to know? (frequency) Every week, every other week, once a month… which day of the week How should they receive it? Email, hard copy, collaborative websites (ex : sharepoint) Change management plan : how people submit changes? who reviews them? the steps for approving them? and how you incorporate into your plan Quality management plan : It starts with a project’s quality objectives. Then for each objective you define how you plan to achieve those quality levels which is called quality assurance. Finally you describe how you plan to monitor and measure quality performance which is called quality control.

Studio day : Friday (page 2 of 2) Risk Management plan : It starts with identifying what could go wrong (i.e. risks). Then you analyze those risks and decide what you will do if they actually happen. 1) Identify risk: Are there uncertainties? Ex : key resources availability Are you choice limited ? Ex : a single vendor for key parts Are constraints significant? Ex: tight budget, fixed end date What level of experience do people have? Does the project depend on factors out of your control? Ex: politics 2) Assessing risk : assess impact (H/M/L), assess probability (H/M/L) – see example of table/graph on p39 3) Planning risk response (accept, avoid, control the pain ie risk mitigation, give the risk to someone else, give yourself options ie plan for contingency funds) 4) Track risk with a risk log (summary of the risk, planned response, who is handling/monitoring, results)

Monday : Change Leadership Day! - Read Kotter Chapter 2 : Building the Guiding Team - Pick 3 of the stories and Prepare a brief PowerPoint presentation (2-5 slides) for your 3 favorite short stories. The first slide will “tell the story”. The following slide(s) will include key lessons learned the reader should take away from the case and how it relates to your current project. Students will be selected at random to lead the class discussion on one of these short stories and will use this slide deck to add structure to their discussion.
