Who is eligible for consideration? Faculty in the following tracks who have not yet reached the top rank (III): Teaching Faculty Research Faculty/Curator Instructional Support (Instructional Specialists) Research Support (Assistant in Research, Associate in Research) Library or Information Specialties (Assistant Librarian, Associate Librarian)

Eligibility for Promotion Demonstrated sustained excellence in performance of one’s assignment of responsibilities shall be the basis for promotion recommendations. Promotion is not automatic nor should it be regarded as guaranteed upon completion of a given term of service. Specialized faculty are typically reviewed for promotion during the 5th year in their current rank. For faculty members who are recommended for promotion prior to being in their 5th year in rank, justification for early promotion must be included in the chair’s/director’s/supervisor’s (or equivalent) letter.

What is early promotion? Promoted prior to completion of 5 years in rank Requires evidence of exceptionally meritorious performance Highly unlikely to be promoted with fewer than 3 years in rank at FSU (difficult to judge “sustained” excellence in the position)

Prior Years of Service Count toward years in rank if specified in one’s offer letter. Please note that bringing in credit does not guarantee promotion but allows for the candidate to be considered earlier than is typical. Limits: Two years for a faculty member hired at the first level Three years for a faculty member hired at the second level Visiting status may count if the assignment of responsibilities remains the same

Who is responsible for preparing the eBinder? The Department Chair/School Director/ Supervisor (or equivalent) is responsible for preparing the binder. The Candidate must also participate in this process. The Chair/Director/Supervisor (or equivalent) and the Candidate must sign the summary cover sheets. The Candidate’s signature certifies that he/she has reviewed the binder and that the contents are valid and accurate. The chair’s/supervisor’s or dean’s/director’s signature certifies that the binder complies with University procedures and has been reviewed by the candidate.

Creating a Successful eBinder Use the information in the Specialized Faculty Promotion Memo (starts on page 5). Use the Checklist for your specific track (on the website) Make sure you identify the staff member in your area who can help you prepare your eBinder. Staff in your areas are very knowledgeable and can answer most questions. Please have the staff in your are contact me if you need more clarification. Questions?

There is no online process in my FSU-HR for Specialized Faculty promotions. There will not be for the foreseeable future. 

Organization of the eBinder The first 6 documents are the same for each track. Teaching Faculty (page 5); Research Faculty/Curator (page 9); Instructional Specialist (page 12); Research Support (page 15); Librarian (page 18) Section 1 – General Information Summary Cover Sheet for Promotion Include numerical votes (no check marks) Brief (but substantive) early promotion justification. The details should be in the chair’s/supervisor’s (or equivalent) letter. Candidate will sign the cover sheet to signal that he/she has reviewed the contents of the binder.

Sample Cover Sheet - Staff If number of years in rank is less than 5, there must be a justification for early promotion on the cover sheet and the chair’s/supervisor’s letter Votes are all numerical. Please do not use “X” or check marks.

Organization of the Binder Dean’s/Center Director’s Recommendation Letter Dean or Director (or staff) is responsible for making sure the letter goes in the binder. Faculty Response (Optional) 5 working days from receipt of Dean’s/Center Director’s letter. Department Chair/School Director or Supervisor’s Letter Department Chair/School Director or Supervisor is responsible for making sure the letter goes in the binder. Creative works – links to articles, books, you tube videos to you choreography or music.

Organization of the Binder Department or School Committee Narrative Chair of Promotion Committee is responsible for writing the narrative which describes the meeting and vote. College/Center Committee Narrative (Optional) Optional if there is already a department/school narrative. Letters Peer Evaluation – Teaching (2) (from the past year) Outside – Research/Curator (3) Internal – Instructional & Research Support (2 or 3) Librarian (check Library promotion criteria – not required at the University level)

Organization of the Binder These next documents are in the same order for every track (except #10). Librarians will be off by one number. Written department/school/college/center promotion criteria – this should be in the bylaws for your area. Professional Vita An updated and finalized Curriculum Vita from the Faculty Expertise and Advancement System (FEAS). Organization of the Binder Courses taught – See memo for instructions. (Only in teaching track) Assignment of Responsibilities Include all fully approved AORs from date of hire or last promotion. Ask your HR representative for help in obtaining reports. Please use the printer friendly version of the AOR instead of the screen shot. Questions?

Teaching Faculty Track Teaching Statement See “Writing Personal Statement for Faculty Evaluations” on the FDA website. Other Teaching Activities (5-pages maximum) (this is not optional) Evidence of well-planned courses – up to 3 sample syllabi Grade Distribution – Generated from FEAS. SPCI forms from date of hire or last promotion – Generated from FEAS.

Annual Letters of Progress Towards Promotion Sometimes this will be included in the annual evaluation letter. External Grant Funding since hire or last promotion Other Research Related Activities (this is not optional) 3 Scholarly or Creative Accomplishments Questions?

Common Mistakes No or “X” or checkmarks on cover sheet. Numerical votes only. Make sure coversheet is signed. Must be a finalized CV from FEAS. Must be fully approved AORs in printable format. Save as PDF and insert into the eBinder. All Specialized Faculty should have annual progress towards promotion letters. No annual evaluation forms. AORs, SPCI reports, Annual Evaluation Letters, Progress Letters must all be submitted in the eBinder from most recent to oldest.

Bookmarks PDFs will be required to be bookmarked before they are turned into FDA this year. A list of bookmark names is on the FDA website http://fda.fsu.edu/faculty- development/promotions-for-specialized- faculty Files will be returned to the college/unit if these instructions are not followed.  Please do NOT use cover pages for each section since more pages makes the PDF file bigger. If you do not have Adobe Professional, get it.
