Project – Shelter Newsletter (4 of 5) To Choose a Newsletter Template and Options Run Publisher and then click BUILT-IN to display the built-in templates Scroll as necessary and then click the Newsletters thumbnail to display the Newsletter templates Scroll to the section labeled, More Installed Templates, and then click the desired thumbnail to choose the template. Click the Color scheme button in the template information pane. Scroll as necessary and then click the desired color to choose the color scheme Click the Font scheme button, scroll as necessary, ant then click the desired font to choose the font scheme Do not click the Business Information button because it is not used in this publication Click the Page size button in the Options area and then, if necessary, click ‘Two-page spread’ to choose how template will display If necessary, click to remove the check mark in the ‘Include customer address’ check box Click the CREATE button to create the publication based on template settings.

Project – Shelter Newsletter (5 of 5) To Delete Pages from a Newsletter Right –click the ‘Page 2 and Page 3’ icon in the Page Navigation pane to display the shortcut menu Click Delete on the shortcut menu to delete pages 2 and 3. When Publisher displays the Delete Page dialog box for confirmation, click Both pages and then click the OK button (Delete Page dialog box) To Add Pages to a Newsletter Right-click the ‘Page 2 and Page 3’ icon in the Page Navigation pane to display the shortcut menu. Click Insert Page on the shortcut menu to insert a new page. Follow the direction in the Insert Newsletter Pages dialog box to insert either a left- hand page, a right-hand page, or both, and then click the OK button (Insert Newsletter Pages dialog box)

Editing the Masthead To Edit the Masthead Click the Page 1 Icon in the Page Navigation pane to change the display to page 1 Click the text, Newsletter Title, to select it and then zoom to 150% Type desired text to replace the text. Right-click the text and then click Best Fit on the shortcut menu Click the default text in the Business Name text box and then press CTRL+A to select all of the text Type desired text to replace the text Click the placeholder text in the Newsletter Date text box to select it Type desired date to replace the text Click the placeholder text in the Volume 1, Issue 1 text box to select it Type desired text to replace the text

Newsletter Text (1 of 5) Importing – inserting text or objects from any other source into the Publisher workspace Story – text that is contained within a single text box or a chain of linked text boxes Linked text boxes – or text boxes whose text flows from one to another Headline – a short phrase printed at the top of a story

Zoom to approximately 120% Click the placeholder text in the story to select it Display the Insert tab Click the Insert File button to display the Insert Text dialog box Navigate to the location of the file to be opened Double-click the desired file to Insert the text into the newsletter Figure 3-13: Type the desired text to replace the text

Newsletter Text (3 of 5) To Continue a Story across Pages Click the secondary story placeholder text on page 1 to select it Click the Insert File button to display the Insert Text dialog box If necessary, navigate to the location of the Data Files and then double-click the desired file, to Insert the text file In the Microsoft Publisher dialog box, click the Yes button to autoflow the story to the selected text box

Newsletter Text (4 of 5) To Break a Text Link Box If necessary, navigate to page 1 and the story at the bottom of the page and then click the second column in the story to select the text box Display the Text Box Tools Format tab Click the Break button to break the connection to the rest of the story Figure 3-23: Click the Break button (Text Box Tools Format tab I Linking group) to break the connection to the rest of the story

Newsletter Text (5 of 5) To Format with Continued Notices Click the Page 1 Icon in the Page Navigation pane and then navigate to the bottom of the page Right-click the second column of text in the lead story to display the shortcut menu Click ‘Format Text Box’ on the shortcut menu to display the Format Text Box dialog box Click the Text Box tab to display its settings Click to display a check mark in the ‘Include “Continued on page…”’ check box Click the OK button (Format Text Box dialog box) to insert the continued on notice Click the Next button to move to the rest of the story on page 3 Right-click the text in the first text box to display the shortcut menu and then click ‘Format Text Box’ on the shortcut menu to display the Format Text Box dialog box If necessary, click the Text Box tab (Format Text Box dialog box) to display its settings Click to display a check mark in the ‘Include “Continued from page…”’ check box Click the OK button (Format Text Box dialog box) to insert the continued from notice

Customizing the Ribbon You can: Create custom groups and custom tabs to contain frequently used command Rearrange or rename buttons, groups, and tabs to fit your work style Add new buttons to a custom group

Editing Stories in Microsoft Word (1 of 3) To Edit a Story Using Microsoft Word If necessary, navigate to page 4 and then scroll to display the story text box in the upper portion of page 4 Click the placeholder text in the story to select it If necessary, display the Review tab Click the ‘Edit Story in Microsoft Word’ button to run the Word program Press CTRL+A to select all of the text, and then type desired text to replace the placeholder text. Press the ENTER key to finish the first paragraph Type desired text to finish the text

Type the following list, pressing the ENTER key at the end of every line except the last Click to the right of the number on the first Monday of the calendar. Press the ENTER key and then type desired text as the notation. Do not press the ENTER key after typing the word Using Figure 3-50 as a guide, enter the other calendar date notations in a similar manner

Revising a Newsletter (1 of 6) To Create a Drop Cap Navigate to page 2 and then click to the left of the letter, M, at the beginning of the story about Molly to position the insertion point. Zoom to approximately 120% Display the Text Box Tools Format tab Click the Drop Cap button to display the Drop Cap gallery Click the ‘Drop Cap Style 7’ preview to select it To Customize a Drop Cap With the insertion point still positioned before the desired letter, click the Drop Cap button again to display the Drop Cap gallery Click ‘Custom Drop Cap’ at the bottom of the gallery to display the Drop Cap dialog box Click the ‘Size of letter’ down arrow until the height of the drop cap is 2 lines high Click the OK button (Drop Cap dialog box) to apply the formatting

Revising a Newsletter (2 of 6) To Reuse a Customized Crop Cap Navigate to the second story on page 2 Position the insertion point before the letter, D, ion the word, Did, at the beginning of the story Click the Drop Cap button to display the Drop Cap gallery Click the ‘Custom Drop Cap Number 1’ I the gallery to apply the recently created drop cap

Revising a Newsletter (4 of 6) To Check the Spelling and Design Press the F7 key to begin the spelling check in the current location, which in this case is inside the caption text box If Publisher flags any words, choose the correct spelling in the Suggestions list, click the Change button and then continue the spelling check until the next error is identified or the end of the text box is reached Click the Yes button to tell the Publisher to check the rest of the publication. If the publication displays a different error, correct or ignore it as necessary Click the OK button to close the dialog box Click File on the ribbon to open the Backstage view and, by default, select the Info tab Click the ‘run Design Checker’ button in the Info gallery to display the Design Checker task pane If your publication has problems other than objects near the margin, point to the error in the Select an item to fix list. When an arrow appears on the right side of the error, click the arrow and then click ‘Go to this item’ on the menu. Fix or ignore the flagged item as necessary Click the Close button on the Design Checker task pane to close the Design Checker and return to the publication

Revising a Newsletter (5 of 6) Hyphenation Hyphenate only at standard syllable breaks Do not change the hyphen location of words that already are hyphenated Avoid hyphenating words in the first or last line of a paragraph Avoid hyphenations that leave only two letters at the beginning or end of a line Avoid hyphenating two lines in a row Avoid hyphenating a line across text boxes or pages Avoid hyphenating proper nouns

Revising a Newsletter (6 of 6) To Print the Newsletter Click File on the ribbon to open the Backstage view and then click the Print tab to display the Print gallery In the Settings area, click the ‘One page per sheet’ button to display its list Click ‘Booklet, side fold’ to specify how the newsletter will print Click the ‘Print One Sided’ button and then click the appropriate manual or duplex print setting If the printer is capable of handling oversized paper and you have access to 17 x 11.5 inch paper, load the paper into the printer and then click the Print button in the Print gallery If you cannot do oversize printing, click the Backstage view Back button to return to the publication workspace

Creating a Template (1 of 2) To Create a Template with Property Changes Click File on the ribbon to open the Backstage view Click the Export tab, and then click the ‘Change File Type’ tab to display the Save Publication gallery Click Template in the Publisher File Types area to save the file as a Publisher template Click the Save As button to display the Save as Template dialog box Type desired text to change the name of the publication. Do not press the ENTER key Navigate to your preferred storage location. If requested by your instructor, double-click the Authors text box in the lower portion of the dialog box and then type your name to replace the text Click the Tags text box and then type the desired text to add the tag words. The current text in the Tags text box will disappear as you type Click the Save button to save the template

Creating a Template (2 of 2) To Remove All Ribbon Customization and Exit Publisher Click File on the ribbon to open the Backstage view and then click Options to display the Publisher Options dialog box Click Customize Ribbon in the left pane to display the options for customizing the ribbon Click the Reset button and then click ‘Reset all customizations’ in the list Click the Yes button Click the OK button to close the dialog box To exit Publisher, click the Close button on the right side of the title bar If a Microsoft Publisher dialog box is displayed, click the Don’t Save button so that any changes you have made are not saved
