Identify audience determine who needs the communication check out how much the recipient’s already know decide whether to verbally communicate or use a written medium
Compose message gather relevant facts and organize them prepare a draft if the communication will be in written form prepare of list of important points if the communication will be verbal
Deliver communication Verbal face to face meeting telephone call conference call voice mail Written memo letter fax e-mail
Follow-up check if your message was clearly understood if action was required on the recipient’s part determine whether they have responded evaluate if you communicated successfully and what you should do differently next time
