The data needs to be kept up-to-date We live in a constantly changing world Geospatial data is like a picture By the time you “develop” the picture the view has already changed Needs to be regularly updated in order to be representative of the evolution of the situation and take informed decision Updating mechanisms needs be put in place for both the master list and the attributes (information statistics) Accredited people should contribute to the update MOHS Region/State officers are key to the regular update of the master lists

Updating the health facility master list HMIS DHIS 2 platform We will be using an approach based on google spreadsheet in the meantime This method has been used in the Philippines and about to be used in Cambodia Does not allow for versioning (only the most recent information) Can not be used as common geo-registry

Updating the health facility master list In the google preadsheet - The master list itself As long as important gaps remains, the central level might contact you to complete missing information including collecting geographic coordinates The information being collected will directly be uploaded into the google spreadsheet Pass to the updating mode once the gap has becomed small

Updating the health facility master list In the google preadsheet – The updating mechanism MOHS Region/State submit a request in the google spreadsheet The person in charge of the master list at the central level checks/validates the request Valid Invalid The change is implemented in the master list The change is not implement The Region/State can check the result of her/his request in a separated google spreadsheet

Updating the health facility master list In the google preadsheet 3 Types of requests: 1. Active health facilities not yet included in the HFML ("Request new facility" worksheet) 2. Edits that need to be implemented in the HFML either because the information was missing, was not correct or needed to be updated ("Request Edit" worksheet). 3. A record in the HFML needs to be inactivated - closure of health facility or duplicate for example ("Request inactive“ worksheet) Specific fields for each request

Updating the EPI communities master list First need to create the first version of the master list following the example of the Taungwingyi Township Get the current list of communities with the indication of their location (Region/State, District, Township, Village track, village) and 1st and 2nd level health facilities based on DOPH health facility master list Match the information with the MIMU database for the EPI communities that are villages Process to take place at the central level with the support of the EPI staffs in the Regions/States

Updating the EPI communities master list Put an updating mechanism in place using the one for the health facilities master list as an example Could also be based on google spreadsheets while waiting for a common geo-registry to be established Could be an integral part of the microplanning process with an annual update taking place just before the population headcount exercise in December Could take advantage of the tablets received this week to collect the geographic coordinates of the EPI communities for which this is missing
